We’re looking for a Travel Operations & Experience Manager who knows travel inside out and can turn a great itinerary into an even better on-ground experience.
This role is for someone who is highly organised, great with people, comfortable managing vendors, and thrives in the chaos of travel. You’ll be responsible for making sure our trips run smoothly, from coordinating with customers and closing vendors to managing the entire on-ground execution of trips.
Extensive travel experience is a must. Experience managing group trips is a strong plus.
What You’ll Do
1. Trip Operations & Planning
- Own the operational planning and execution of trips from start to finish.
- Coordinate with internal teams to ensure every trip detail is planned and communicated.
- Build and maintain detailed trip checklists, schedules, vendor requirements and operational documents.
- Identify potential operational issues before the trip and create backup plans where required.
2. Vendor Management
- Identify, evaluate and onboard hotels, transport providers, activity partners, restaurants, guides and other travel vendors.
- Negotiate rates, inclusions, terms and availability with vendors.
- Close and confirm vendors as per the trip requirements and budget.
- Maintain strong relationships with existing vendors and continuously build a reliable vendor network.
- Ensure vendors deliver exactly what has been committed to the company and travellers.
3. On-Ground Trip Management
- Be responsible for the smooth operational execution of trips on the ground, working closely with vendors and trip captains.
- Coordinate accommodation, transportation, activities, meals, experiences and other logistics during the trip.
- Act as the key point of contact between the company, vendors and on-ground teams.
- Troubleshoot issues quickly and make real-time decisions when plans change.
- Ensure the experience delivered on-ground matches the itinerary and the company's standards.
- Manage unexpected situations calmly and efficiently, because travel rarely goes exactly according to plan.
4. Customer Experience
- Handle customer queries and operational communication before, during and after trips.
- Ensure travellers have all necessary information before departure.
- Be responsive to customer concerns and coordinate with relevant teams/vendors to resolve issues.
- Gather customer feedback and identify opportunities to improve the overall travel experience.
- Maintain a high standard of communication and service throughout the customer journey.
5. Experience & Quality Control
- Continuously evaluate our itineraries, vendors and experiences to improve the quality of our trips.
- Research and suggest new hotels, activities, restaurants and experiences.
- Conduct vendor/experience checks wherever required.
- Ensure every touchpoint of the trip feels intentional, well-executed and aligned with our brand.
What We’re Looking For
- 2–5+ years of experience in travel, tourism, hospitality, travel operations or a similar role.
- Extensive personal and/or skilled travel experience.
- Experience managing group trips, tours, retreats or travel experiences is a major plus.
- Strong vendor management and negotiation skills.
- Excellent communication and customer-handling skills.
- Extremely organised with strong attention to detail.
- Comfortable working under pressure and handling last-minute changes.
- Strong problem-solving and decision-making abilities.
- Someone who can take ownership rather than wait to be told what to do.
- Willingness to travel frequently and be hands-on during trip execution.
- Comfortable working with multiple stakeholders simultaneously.
