PRINCIPAL ACCOUNTABILITIES - List the expected end results that must be achieved to fulfil the job purpose and the activities that help in achieving these results.

RESPONSIBILITIES

ACTIONS

TEAM MANAGEMENT

- Assigning and monitoring specific tasks as directed by the FLM.
- Holding regular planning and reporting meetings.
- Auditing and evaluating the performance of frontline staff.
- Providing oral feedback to employees.
- Conducting induction, training, and disciplinary actions as necessary, serving as the initial step in the grievance procedure.
- Monitoring frontline attendance.
- Tracking process metrics including productivity, quality, and turnaround time.
- Contributing to statistical reports prepared by the FLM.
- Coordinating the Admission Officers' work to ensure consistent performance.
- Acting as a substitute for the FLM in certain circumstances, such as their absence.

DECISION ADVISORY

Assists the FLM in making critical decisions by providing recommendations on:

- Appointing new team members (with the FLM having final decision-making authority or veto power).
- Assigning specific tasks (with the FLM determining task types).
- Conducting appraisals (with the FLM having final rating authority and potentially interviewing outliers to ensure consistency and reliability).
- Initiating transfers (with the FLM making transfer decisions).
- Determining salary increases (with the TL contributing recommendations, particularly in a merit-based system).
- Enhancing workflows.

REGULATORY COMPLIANCE MASTERY

Ensures adherence to relevant regulations and accreditation standards: by keeping abreast of institutional policies, admission criteria, and industry-leading practices.

Enhances skilled skills and knowledge: By actively participating in training sessions and diligently working towards personal development goals for optimal self-fulfilment.

- Promptly informing the FLM about successes and any obstacles hindering task completion.

DESIRED PROFILE

MINIMUM QUALIFICATION

- Bachelor’s degree in any discipline or equivalent

ESSENTIAL

SKILLS

- Proficiency in MS Office suite.
- Familiarity with admission policies, procedures, and relevant technology tools, including databases and student information systems, or equivalent experience in other industries such as BPO Back Office, Banking Back Office KYC, Banking Disputes, etc.
- Strong verbal and written communication skills for effective interaction with stakeholders.

SUPERVISORY OR MANAGERIAL SKILLS

- Strong communication skills
- Ability to motivate and inspire team members to achieve targets and goals.
- Cross-cultural understanding and global work drive
- Effective prioritization to meet tight deadlines.
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint)

especially in handling disciplinary matters with transparency and honesty.

RELEVANT EXPERIENCE

- Minimum of 5-7 years of experience in back-office operations of ITES industry (preferably admission processes) with min. 2 years as a Team Lead/ Supervisory role.
- Hands-on attitude with ability to work in a multi-cultural environment.
- Experience of working in processes highly driven by quality in accuracy
