Banu's Holdings Pte Ltd (Singapore) is looking for a hands-on Senior HR Executive to own end-to-end payroll and HR documentation across three jurisdictions — Singapore, Malaysia, and India. This role sits at the centre of our HR operations, ensuring every employee and contractor is paid accurately, on time, and in full compliance with local statutory requirements, while keeping our leave and documentation systems airtight.
This is a strong fit for someone who is meticulous with numbers and paperwork, comfortable working across multiple legal frameworks, and confident picking up recent regulatory requirements quickly — you'll be expected to get up to speed on Malaysian employment law fast if you're not already familiar with it.
Key Responsibilities
Multi-country Payroll
- Process monthly payroll for employees and contractors across Singapore, Malaysia, and India entities, ensuring accuracy and timeliness in each pay cycle
- Accurately capture and apply all allowances (e.g. WFH/infrastructure, attendance, transport, other fixed and variable allowances) per each contractor's or employee's specific terms
- Calculate pro-rated pay correctly for new joiners, exits, and mid-cycle changes
- Compute and process statutory contributions correctly per country: CPF (Singapore), EPF/SOCSO/EIS (Malaysia), and applicable India statutory deductions.
- Reconcile payroll figures against contracts, invoices, and attendance/leave records before disbursement
- Liaise with Finance to ensure payment runs are accurate and submitted on schedule
Statutory Compliance
- Build working knowledge of Malaysian Employment Act requirements (and keep Singapore/India knowledge current) — proactively flag compliance gaps or upcoming regulatory changes
- Ensure statutory filings and submissions (CPF, EPF/SOCSO/EIS, and India equivalents) are completed accurately and on time
- Support audit and compliance reviews with organized, accurate payroll documentation
Leave Management
- Maintain and manage leave schedules across all three entities, tracking entitlements, balances, and approvals
- Ensure leave records reconcile correctly with payroll (unpaid leave, pro-ration, encashment where applicable)
- Flag scheduling conflicts or coverage gaps to management
HR Documentation
- Maintain accurate, up-to-date records for all employees and contractors: contracts, amendments, pay structures, and personal particulars
- Draft and update employment/contractor agreements, remuneration clauses, and HR letters as needed
- Keep a clean, audit-ready paper trail for every payroll decision, allowance change, and contract amendment
- Maintain master salary/payroll workbooks and supporting documentation used for monthly payment processing
What We're Looking For
- Proven experience running payroll (ideally multi-country) — Singapore and/or Malaysia payroll experience strongly preferred; India payroll exposure a plus
- willingness and ability to quickly learn Malaysian employment law in depth
- Excellent attention to detail — this role requires zero-tolerance accuracy on pay calculations and allowances
- Strong documentation discipline: comfortable drafting, organizing, and maintaining contracts, policies, and records
- Proficiency with payroll related tools (e.g. Talent, Autocount HR); AutoCount experience is a plus
- Ability to manage competing deadlines across three entities and time zones
- Clear written communication for contracts, policy documents, and employee correspondence
- Prior experience in a lean, fast-scaling SME environment is an advantage
Nice to Have
- HR certification (e.g. CIPD, IHRP) or equivalent
- Experience with contractor/freelancer engagement structures alongside traditional payroll
- Exposure to food/FMCG, manufacturing, or distribution industries
Pay: ₹15,218.12 - ₹30,242.88 per month
