Position Overview

We are seeking a detail-oriented, proactive, and organized Shipping Assistant to support the end-to-end shipment process for a growing global manufacturing business.

The role will support the preparation of shipping and export documentation, coordination with carriers and logistics partners, shipment tracking, delivery follow-up, and resolution of shipment-related issues.

This position is part of Nisje Limited and will work closely with operational teams and stakeholders across jurisdictions to support the shipping and logistics requirements of an international manufacturing business that is continuously expanding its operations and reach across global markets.

As a remote role, this position requires a high degree of self-reliance, self-direction, and accountability. The successful candidate should be comfortable learning new processes and systems independently, adapting quickly to changing requirements, and proactively seeking information or clarification when needed.

This role is well suited to someone with at least 6 months of relevant experience who is curious, resourceful, quick to learn, and capable of working independently while maintaining strong communication with their team and stakeholders.

As the business continues to expand globally, effective shipping and logistics coordination plays an important role in ensuring that products are accurately documented, efficiently dispatched, closely tracked, and delivered on time.

This role provides an opportunity to contribute directly to these operations while gaining exposure to international shipping, logistics, and cross-border business processes.

Key Responsibilities

Shipping Documentation & Coordination





- Prepare, verify, and maintain accurate shipping and export documentation, including Airway Bills (AWB), Bills of Lading (BOL), Export Declarations, Commercial Invoices, and related records, ensuring compliance with applicable requirements;
- Coordinate shipments with carriers, freight forwarders, customs brokers, logistics partners, and internal teams including Sales, Customer Service, Production, Warehouse, and Planning;
- Assist with freight quotations, shipment scheduling, dispatch readiness, and follow-up on outstanding requirements;
- Update relevant systems, shipping portals, ERP platforms, and tracking records.

Shipment Tracking & Issue Resolution

- Track shipments from dispatch through final/last-mile delivery, monitoring milestones, transit times, expected delivery dates, and delivery confirmation;
- Provide timely shipment updates and proactively follow up with carriers, logistics partners, customers, and internal stakeholders;
- Identify, investigate, and assist in resolving delays, missing documentation, customs issues, delivery failures, damaged or missing shipments, and other exceptions;
- Escalate significant or recurring issues, maintain records of resolutions, and respond to shipment-related queries.

Administration & Process Improvement

- Maintain accurate shipment records, documentation, communications, and system updates;
- Follow established procedures and controls while providing general administrative and operational support to the Shipping/Logistics function;
- Identify and support improvements that make shipping processes more productive, systematic, and reliable.

Required Skills & Competencies

- Ability to work independently in a remote environment, take ownership of assigned responsibilities, and manage priorities without constant supervision;
- Quick learner who can adapt to changing processes and requirements, research unfamiliar situations, apply new systems and procedures, and ask thoughtful questions when needed;
- Proactive and practical problem-solver who identifies potential issues, takes appropriate action, and escalates matters clearly and promptly;
- Robust written and verbal communication skills, with the ability to coordinate effectively with internal and external stakeholders across teams and jurisdictions;
- Reliable follow-up skills, including providing timely updates and communicating risks or delays early;
- Excellent attention to detail, accuracy, organization,



and time management, with the ability to manage multiple priorities and maintain accurate records;
- Comfortable using spreadsheets, shipping portals, ERP systems, and other digital tools to organize information, track work, and communicate effectively.

Qualifications & Experience

- 6 months to 3 years of experience in shipping, logistics, export, freight forwarding, supply chain, administration, customer service, or a related function;
- Relevant academic background in Logistics, Supply Chain Management, Business Administration, International Business, or a related discipline is preferred but not mandatory;
- Familiarity with shipping and export documentation, such as Airway Bills (AWB), Bills of Lading (BOL), Commercial Invoices, Export Declarations, or similar documents, is an advantage;
- Any prior exposure to carriers, freight forwarders, customs brokers, logistics providers, or international trade is an advantage;
- Experience working with international teams, customers, or stakeholders is beneficial;
- Prior experience working in a remote or independently managed environment is an advantage;
- Demonstrated ability to learn quickly, adapt to new processes and systems, and work independently with appropriate guidance;
- Willingness and ability to work flexibly with shift times or meeting schedules that may be required to support stakeholders across multiple jurisdictions and time zones;
- Strong willingness to develop knowledge and practical experience in international shipping, logistics, and cross-border operations.
