Nature of The Job

This is a fixed-term contract role within the People Services team, responsible for delivering an efficient and seamless onboarding experience for new employees across the Group. The role focuses on coordinating all pre-employment activities, ensuring compliance with company policies, maintaining accurate records, and providing an excellent candidate experience throughout the onboarding journey.

Job Purpose

- To manage the end-to-end onboarding administration process, ensuring all pre-employment activities are completed accurately and within agreed service levels. The role will work closely with Hiring Managers, Recruitment, Payroll, and HR teams to ensure new employees are successfully onboarded before their start date.

Onboarding Administration

Manage the end-to-end onboarding process using Teamtailor.

Prepare and issue offer letters, employment contracts, and onboarding documentation.

Ensure all onboarding documents are completed and returned before the employee's start date.

Monitor onboarding progress and follow up with candidates to complete outstanding tasks.

Maintain regular communication with candidates throughout the onboarding journey.

Background Screening & Compliance

Initiate and monitor pre-employment background screening through Experian.

Complete Right to Work (RTW)



verification through Experian.

Review screening results and escalate any discrepancies in line with company procedures.

Ensure all mandatory compliance checks are completed before employment commences.

Maintain confidential employee records in accordance with GDPR and company policies.

HR System & Data Management

Maintain accurate employee information within Teamtailor.& HR System.

Ensure all onboarding documentation is uploaded to employee electronic files.

Validate employee information for accuracy and completeness.

Maintain onboarding trackers and ensure all records remain up to date.

Support data cleansing and audit activities when required.

Stakeholder Management

Liaise with Hiring Managers, Recruitment, Payroll, and People Services teams to coordinate onboarding activities.

Provide timely updates on onboarding progress and outstanding actions.

Respond to onboarding-related queries from candidates and internal stakeholders within agreed SLAs.

Escalate issues that may impact start dates or compliance.

Process Improvement

Support continuous improvement initiatives within the onboarding process.

Identify opportunities to streamline onboarding activities and improve the candidate experience.

Assist in updating onboarding guides, SOPs, and process documentation.

Desired Profile

Qualification

MBA preferably in HR

Skills

Good understanding of the employee onboarding lifecycle.

Strong administrative and organisational skills.

Excellent attention to detail and accuracy.

Strong written and verbal communication skills.

Ability to manage multiple onboarding cases simultaneously.





Proficient in Microsoft Office, particularly Excel.

Ability to work to deadlines and agreed service levels.

Strong customer service orientation.

Ability to handle confidential information with discretion.

Relevant Experience

2–4 years' experience in HR Administration, Onboarding, or People Services.

Experience using an Applicant Tracking System (preferably Teamtailor) is desirable.

Experience coordinating background screening and Right to Work verification.

Experience working with HR systems and maintaining employee records.

Experience supporting high-volume recruitment or onboarding activities is advantageous.
