Safety & Quality Product Delivery Manager
Exposure to Aviation Safety & Quality | Good Communication

Role Summary The QMSMART Safety & Quality Specialist is the operational and functional expert for the organization's QMSMART Safety & Quality Management System (branded internally as SQMS/ESMS). This role owns day-to-day use, configuration integrity, and continuous improvement of the QMSMART platform across its core modules — Occurrence Reporting, Investigation Management, Document Control, Risk Assessment, and Audit Management — while acting as the key business-side resource during implementation phases (CRP, UAT, Data Migration, Training, Go-Live, Hypercare) and ongoing operations.
This is a safety-critical, regulated role (ICAO/IOSA/CAA) where accuracy, sign-off discipline, and data integrity within QMSMART directly support the organization's Safety Management System (SMS) and Quality Management System (QMS).
Key Responsibilities
QMSMART Platform Ownership
- Serve as the subject matter expert on QMSMART configuration, workflows, and module functionality (Occurrence Reporting, Investigation Management, Document Control, Risk Assessment, Audit Management).
- Maintain the role/user mapping and permissions matrix, ensuring access aligns with job function (Safety Reporter, Safety Investigator, Quality Officer, Auditor, System Admin).
- Monitor system usage and data quality; flag and resolve configuration issues or defects (using P1–P4 priority classification: P1 blocks go-live/24h fix, P2 major/fix before UAT exit, P3 workaround exists, P4 minor/post go-live).
Be a Specialist and Act as a Service Manager
- Process and triage occurrence reports; ensure timely routing for investigation per SLA.
- Support investigators with structured workflow tools, document control, and risk assessment scoring within the platform.
- Maintain audit schedules, findings, and corrective/preventive action (CAPA) tracking within the Audit Management module.
- Ensure risk assessments are logged, scored, and reviewed in line with the organization's risk matrix.
Implementation & Change Support
- Act as business SME during Conference Room Piloting (CRP), validating process maps, role matrices, and test scripts.
- Coordinate or execute User Acceptance Testing (UAT) test cases; track defects and support IT/vendor resolution within SLA; confirm zero open P1/P2 defects before UAT exit sign-off.
- Support data migration validation and training material validation during Design & Configuration.
- Contribute to Go-Live readiness across the four pillars — Technical, Data, People, Regulatory — and support Hypercare/adoption activities post go-live.
Project Management
- Manage projects end-to-end by Project Plan, RAID Log, Track User Acceptance tracker and be an advocate for QMSMART during project implementation
- Log and maintain risks, actions, issues, and decisions (RAID) related to QMSMART operations and project activity, using the standard RAID register format and scoring (Likelihood × Impact for risks; Urgent/High/Low/Resolved for issues).
- Provide input to Project Steering Group (PSG) status reporting — workstream updates, red/amber risks and issues, milestones, and decisions required.
- Track and report on safety performance indicators (SPIs) and quality metrics generated from QMSMART data.
Training & Adoption
- Deliver or support role-based QMSMART training (Orientation, Occurrence Reporting, Investigation Management, Document Control, Risk Assessment, Audit Management, System Admin) per the training matrix for each user group.
- Support Train-the-Trainer (TTT) sessions and champion network activities to drive adoption (ADKAR: Awareness, Desire, Knowledge, Ability, Reinforcement).
- Communicate role-specific benefits (e.g.,
faster reporting for Safety Reporters, elimination of spreadsheets for Quality Officers) to drive user buy-in.
Add-on Support
- Provide support to Sales team for product demo
- Provide support for RFP preparation and delivery
- Act as a Customer support representative during monthly customer success meetings.
Qualifications Required
- Bachelor's degree or Diploma in Aviation Management, Aeronautical Engineering, or related field (or equivalent experience).
- Good communication and ability to communicate with p
- Minimum 3+ years of experience in aviation safety, quality assurance, or SMS/QMS administration.
- Hands-on experience with QMSMART or a comparable aviation SMS/QMS software platform.
- Working knowledge of ICAO Annex 19, IOSA, and applicable CAA regulatory requirements.
- Familiarity with occurrence reporting, investigation management, document control, risk assessment, and audit management processes.
Preferred
- Direct experience as a UAT participant, CRP contributor, or business SME on any Safety & Quality implementation project or exposure to Safety & Quality System.
- Certification in SMS (IATA/ICAO SMS training) or Quality Management (ISO 9001 Lead Auditor).
- Familiarity with RAID log management, phase-gate readiness reviews, and PSG-style status reporting.
- Train-the-Trainer or adoption/change management (ADKAR) experience.
