Role Overview

We are looking for an experienced PF & ESI Manager to manage end-to-end Provident Fund (PF), Employees’ State Insurance (ESI), and other applicable labour-law compliances. The role will be responsible for ensuring timely statutory compliance, accurate employee records, government portal management, audits, inspections, and resolution of PF/ESI-related queries and notices.

Key Responsibilities

Manage end-to-end PF and ESI statutory compliance for all employees across locations/establishments.

Ensure timely preparation and filing of monthly PF and ESI returns and statutory payments.

Manage employee PF UAN, ESI numbers, registrations, transfers, withdrawals, and related documentation.

Handle PF/ESI onboarding and exit formalities, including employee data verification.

Ensure accurate calculation of PF, ESI, and applicable statutory deductions in coordination with payroll.

Reconcile payroll data with PF and ESI records and identify/resolve discrepancies.

Manage PF and ESI challans, returns, contribution records, and statutory registers.

Handle PF/ESI inspections, audits, notices, inquiries, and departmental correspondence.

Coordinate with EPFO and ESIC officials for registrations, compliance matters, inspections, and issue resolution.

Review and respond to statutory notices and ensure timely closure of observations.

Manage employee queries related to PF contributions, UAN, transfers, withdrawals, pension, ESI benefits, and claims.

Ensure timely processing and follow-up of PF transfer/withdrawal and ESI-related claims.

Maintain accurate records and documentation for statutory audits and inspections.

Monitor changes in PF, ESI, wage ceilings, contribution rates, notifications, circulars, and applicable labour laws.

Ensure compliance with applicable provisions of the EPF & MP Act, Employees’ State Insurance Act, and related rules/regulations.

Coordinate with payroll, HR operations, Finance, and external consultants to ensure accurate statutory compliance.





Maintain a comprehensive PF & ESI compliance tracker/MIS and report compliance status to management.

Identify compliance risks and recommend corrective/preventive actions.

Support internal and external audits relating to payroll and statutory compliances.

Required Qualifications

Graduate/Postgraduate in HR, Finance, Commerce, Business Administration, or a related field.

Knowledge of PF, ESI, payroll, and labour-law compliance.

Professional certification in HR/payroll or labour laws will be an advantage.

Experience

5–10 years of relevant experience in PF, ESI, payroll, or statutory compliance.

Hands-on experience with EPFO and ESIC portals.

Experience managing PF/ESI compliance for a large employee base or multiple locations will be preferred.

Experience in handling inspections, audits, notices, and departmental queries will be an advantage.

Ideal Candidate The ideal candidate will have strong hands-on experience in PF & ESI compliance, payroll coordination, EPFO/ESIC portals, statutory audits, and employee claim management. The candidate should be detail-oriented, well-organised, proactive in tracking statutory deadlines, and capable of independently managing PF/ESI compliance for multiple locations or a large workforce

Pay: ₹60,000.00 - ₹80,000.00 per year
