Logistics Executive –
Position: Logistics ExecutiveDepartment: Operations & LogisticsReports To: Head – Operations
Job Purpose The Logistics Executive will be responsible for complete end-to-end logistics operations, including vehicle maintenance, driver management, delivery planning, vehicle documentation, cost control, breakdown management, and daily logistics reporting. The main objective is to ensure safe, timely, cost-effective, and uninterrupted deliveries.
Key Responsibilities
- Daily Logistics & Delivery Management
- Plan daily vehicle allocation based on delivery requirements.
- Prepare and monitor delivery routes.
- Coordinate with Sales, Production, Stores and customers for dispatches.
- Ensure vehicles leave on time and deliveries are completed as scheduled.
- Track pending, delayed and emergency deliveries.
- Confirm completion of every delivery and vehicle return.
- Vehicle Maintenance
- Maintain complete records for all company vehicles.
- Prepare preventive maintenance schedules.
- Monitor servicing, repairs, tyres, batteries, brakes and other vehicle requirements.
- Maintain service history and repair history for each vehicle.
- Ensure breakdowns are attended to immediately.
- Verify workshop/service centre bills before submission.
- Reduce unnecessary repairs and repeat breakdowns.
- Conduct regular physical vehicle-condition checks.
- Driver Control & Management
- Maintain driver attendance, duty allocation and leave records.
- Assign drivers and vehicles according to routes.
- Monitor reporting time, departure time and return time.
- Ensure drivers follow assigned routes and company instructions.
- Monitor protected driving, speeding, unnecessary stoppages and vehicle misuse.
- Ensure proper vehicle handover when drivers change vehicles.
- Handle driver discipline and performance issues.
- Maintain valid driving licence and other required driver documentation.
- Fuel / EV Monitoring
- Monitor diesel consumption vehicle-wise and route-wise.
- Record kilometres travelled and calculate mileage.
- Identify abnormal fuel consumption.
- For EVs, monitor charging, range, battery performance and kilometres per charge.
- Maintain charging records and electricity/charging expenses.
- Compare diesel vehicle vs EV operating costs.
- Report vehicles showing unusually high operating costs.
- Vehicle Documentation & Compliance
- Monitor RC, insurance, fitness, permits, pollution certificates and other statutory documents.
- Maintain renewal schedules and ensure there are no expiries.
- Maintain accident/insurance claim records.
- Coordinate with RTO, insurance companies and service providers when required.
- Breakdown & Emergency Management
- Respond immediately to vehicle breakdowns during deliveries.
- Arrange alternative vehicles where required so customer deliveries are not affected.
- Coordinate towing, workshop and roadside assistance.
- Record breakdown reason, repair cost and downtime.
- Analyse repeated breakdowns and recommend corrective action.
- Cost Control
- Monitor monthly diesel, EV charging, maintenance, tyre, battery and repair expenses.
- Compare actual expenses against previous months.
- Verify logistics-related bills.
- Identify unnecessary expenditure and recommend cost-saving measures.
- Monitor cost per kilometre and cost per delivery.
- Daily ReportingMaintain a daily logistics report covering:
- Vehicle number
- Driver name
- Route
- Opening & closing kilometres
- Total kilometres
- Dispatch time
- Delivery completion time
- Return time
- Fuel/charging details
- Delivery quantity
- Breakdown/delay, if any
- Vehicle condition
- Remarks
Monthly Responsibilities
Prepare a Monthly Logistics Performance Report covering total kilometres, fuel consumption, EV charging, maintenance expenses, breakdowns, vehicle downtime, driver performance, delivery delays, cost per vehicle and major observations.
Key Performance Indicators – KPI The Logistics Executive will be evaluated mainly on on-time delivery %, vehicle availability, reduction in breakdowns, preventive maintenance compliance, fuel/EV efficiency, logistics cost control, driver discipline, documentation compliance and accuracy of daily reports.
Overall Responsibility The Logistics Executive is the single-point coordinator for complete logistics operations—from vehicle readiness and driver allocation to dispatch, delivery, vehicle return, maintenance and cost reporting. The position should ensure that logistics problems do not affect production schedules, customer commitments or company reputation.
Pay: ₹15,000.00 - ₹40,000.00 per month
