JOB SUMMARY:

The Human Resources Executive is responsible to assist the Human Resources Department by fulfilling various human resources functions including, Recruitment and Selection, Administration and Performance

Management. Provide secretarial, clerical, administrative and support services for Human Resources Department; translation assistant (verbal and written). To be actively aware of and organize the day to day activities of the Human Resources Department. Efficiency, urgency, confidentiality and initiative will be essential characteristics for this role.

The Human Resources Executive will be required to conduct their duties in a courteous, safe and efficient manner, in accordance with the hotels and HR policies and procedures, ensuring that a high level of service is maintained.

KEY RESPONSBLITIES:

1. Recruitment & Selection

- Maintain the approved vacancy tracker and provide regular updates on open positions.
- Source, screen, and shortlist candidates against approved Job Descriptions and manpower requirements.
- Coordinate telephone/walk-in enquiries and candidate communication.
- Schedule interviews with HR and Hiring Managers and maintain interview status records.
- Coordinate reference checks, selection documentation, and offer-related activities.
- Maintain candidate database and recruitment files.
- Ensure recruitment documentation is complete before offer release.

2. Joining & Induction

- Coordinate pre-joining documentation and background/reference verification.
- Prepare employee personal files and ensure all mandatory documents are collected.
- Complete joining formalities, employee ID/badge requirements, HRIS entries, and induction coordination.
- Ensure new joiners are formally inducted within the prescribed timeline.

3. Attendance, Leave & Payroll

- Validate monthly attendance, rosters, overtime, leave,



and absenteeism data before payroll processing.
- Submit accurate payroll inputs within the monthly payroll cut-off.
- Verify salary deductions, leave encashment, and other employee-related payroll inputs.
- Maintain attendance and leave records in the HRIS.
- Coordinate with Finance/Payroll team to resolve payroll discrepancies.
- Prepare monthly manpower, absenteeism, and employee turnover reports.

4. Employee Records & HR Operations

- Maintain accurate and confidential personnel files and employee records.
- Ensure employee information is updated in the HRIS on a timely basis.
- Issue HR letters, employment certificates, confirmation letters, and other employee documentation as required.
- Maintain records related to transfers, promotions, confirmations, resignations, and exits.
- Maintain HR registers, trackers, reports, and departmental documentation.

5. Performance & Talent Management

- Coordinate the annual and periodic performance appraisal process.
- Track completion of performance reviews and follow up with respective departments.
- Maintain employee performance and career development records.
- Support Talent Review, succession planning, and employee development initiatives.

6. Employee Relations & Engagement

- Respond to employee HR queries and provide timely resolution or escalation.
- Support employee engagement activities and HR communication initiatives.
- Coordinate Employee of the Month and other employee recognition programs.




- Assist in handling employee grievances and maintain appropriate records.
- Promote a professional, respectful, and employee-focused work environment.

7. Compliance & HR Governance

- Maintain working knowledge of applicable labour laws and company HR policies.
- Ensure required employee documentation and statutory records are maintained.
- Support HR audits and provide required documentation within timelines.
- Ensure compliance with workplace health & safety, fire, first-aid, and other organizational requirements.
- Maintain confidentiality of employee and company information.

8. HR Administration

- Maintain HR office records, forms, stationery, and other required supplies.
- Prepare HR reports, MIS, correspondence, and presentations.
- Maintain employee notice boards and HR communication material.
- Support improvement and standardization of HR processes and systems.
- Perform other HR responsibilities assigned by the Human Resources Manager.

- Positive knowledge of MS Excel, Word, PowerPoint, and HRIS/HRMS.
- Working knowledge of payroll, attendance, recruitment, and labour laws.

QUALIFICATION & EXPERIENCE Education: Bachelor's Degree in any discipline; qualification in Human Resources/Personnel Management preferred.

Experience: Minimum 4 years of relevant HR experience, preferably in hospitality, aviation, hotels, or other service-oriented industries.
