Crew changes are one of the most operationally critical parts of ship management. As an Executive in EPS's Marine HR - Crew Changes team, you will be at the center of it all, coordinating the timely and cost-effective rotation of seafarers across a diverse international fleet. From planning travel and managing documentation to supporting medical cases and ensuring certification compliance, your work has a direct and meaningful impact on the welfare of ship staff and the smooth operation of vessels worldwide.

Key Responsibilities

- Plan and execute efficient, cost-effective crew changes for assigned vessels, including travel, accommodation, documentation, port agent liaison, and system updates in COMPAS.
- Coordinate the monthly consolidated crew change plan, ensuring compliance with staggering guidelines and providing timely updates on manpower availability and planned rotations.
- Handle minor and major medical cases by liaising with the company doctor, vessel, and internal stakeholders — monitoring conditions, maintaining records, and initiating Crew Medical Alerts where required.
- Ensure all onboard ship staff hold valid certificates and licenses, tracking renewals in COMPAS and coordinating with manning offices to maintain compliance at all times.
- Respond to ship staff queries, including requests for early relief or extension, within 72 hours, and ensure documentation is updated in accordance with QSM requirements.
- Arrange briefings for Masters, Chief Engineers, and VMT members, coordinating logistics, visa support,



and documentation.
- Monitor flag document validity and ensure compliance with port-specific crew documentation requirements (including Brazil, Indonesia, and Australia).
- Maintain and update the OCIMF/CDI Officers' Matrix in coordination with vessels and superintendents, supporting audit and inspection readiness.
- Manage approvals and logistics for parallel sailing or additional onboard crew, tracking associated costs and ensuring compliance with manpower procedures.
- Submit DNV XML crew lists to vessels post crew change, and support CTM arrangements at preferred ports within company commission limits.

Requirements

- Bachelor's or Master's degree in Maritime Studies, Commerce, Human Resources Management, or a related field or equivalent work experience.
- Minimum 2 to 3 years of relevant experience in a similar corporate role, preferably within Marine HR or crew management.
- Good knowledge of Fleet HR processes and maritime crew operations.
- Strong communication skills in spoken and written English, with a good appreciation of cultural diversity.
- Proficient in MS Office applications, including Word, Excel, and Email.
- Working knowledge of crew management systems (experience with COMPAS is an advantage).
