About ProsomaProsoma is a digital health company developing clinically validated digital therapeutics for the mental, emotional and behavioural wellbeing of cancer patients and survivors. Our flagship product, Living Well, is prescribed and reimbursed within the German healthcare system and is being rolled out across the DACH region and the US.

The company has around 30 employees across Poland, Germany, the US and India, working in four core functions: Sales, Marketing, Product and Technology. The team includes clinical psychologists, scientists, software engineers and healthcare professionals. Prosoma operates in a regulated medical software environment.

About the RoleProsoma is scaling. As we grow, the company needs a strong operating backbone: a clear rhythm, aligned priorities, measurable goals and someone who makes sure decisions turn into action.

We are hiring a Chief of Staff, reporting to the Group CEO. This is not an administrative role and it is not a pure project management role. It is a hybrid: you bring the discipline of a PMO / Agile leader and the judgement of a Chief of Staff, and you apply both to the whole company.

You will own how the company operates week to week, drive the projects that fall between teams, and make sure every team is moving in the same direction against clear KPIs.

What You'll DoThe role has three core pillars. These are the heart of the job.

- Run the operating rhythm of the companyYou will design and own the company's operating cadence and make it stick:

- Weekly leadership meeting, monthly business reviews, quarterly planning and OKR cycles, company all-hands and leadership reporting.
- Set agendas, make sure the right data is in the room, capture decisions and — critically — chase the follow-ups so decisions actually get executed.
- Build and maintain the company KPI dashboard and the reporting the leadership team relies on.
- Define the standards, governance rules and routines that keep a fast-growing, multi-market company aligned: roles and responsibilities, escalation paths and decision-making flows.

2. Own cross-functional projects that nobody else ownsAnything that touches more than one team lands with you: a new pricing model that spans Product, Sales and Finance; a market expansion; a new internal process or tooling rollout; a churn investigation. You scope it, pull in the right people, drive it to completion and hand it off. Over time, many of these projects become someone's permanent function — you are the bridge.




- Keep every team going in the same directionAt 30 people across four countries, informal communication stops working. You will make sure strategy and priorities are actually understood across the company:

- Translate leadership decisions into what they mean for Sales, Marketing, Product and Technology.
- Work with each department head to set meaningful team KPIs and OKRs, then make sure they are tracked, reviewed and managed properly.
- Surface misalignment early — for example, Sales promising features Product hasn't prioritised — and resolve it before it becomes a problem.
- Introduce fit-for-purpose ways of working (Agile, hybrid or otherwise) tailored to each department's reality rather than a one-size-fits-all model, and coach managers so the structure is adopted and sustained.

Beyond the three pillars
- Fill gaps in functions that don't exist yet (people operations, finance operations, analytics) until we hire for them.

What You'll Deliver in Your First 6–12 Months
- A documented, company-wide operating framework and playbook: cadences, rituals, governance, decision flows.
- Department-specific operating routines for Sales, Marketing, Product and Technology.
- A company KPI dashboard and OKR system that leadership actually uses.
- A ready-to-use toolkit of templates, workflows and reporting (planning, tracking, status reporting, resource and dependency management).
- A leadership team that meets, decides and executes on a predictable rhythm.

Who We're Looking For
- 10+ years of experience in project / program management, PMO leadership, or as a Chief of Staff in digital companies — ideally a combination of both.
- A genuine hybrid profile: you have run a PMO, acted as an Agile / Scrum Master or coach, or built project management structures from scratch, and you also have the strategic judgement and discretion to operate at leadership level.
- Fully remote experience working across time zones, including regular overlap with both European (CET) and US East Coast teams. You know how distributed companies succeed and fail.
- Fluent English (C1 or above): clear, confident, professional communication in writing and in the room, with senior stakeholders and across cultures.
- Very ambitious:



you want a role that grows as the company grows, and you are ready to earn a bigger remit over time.
- Willing to grow together with the company: this is a long-term role, not a placement. You want to help build Prosoma from a 30-person Series A company into a multi-market leader in digital cancer care.
- Excited by digital health: you want to work in an international, mission-driven, regulated environment where the work has direct human impact.
- Structured thinker and solid writer: most of your leverage will come from agendas, documents and dashboards.
- Low ego, high ownership: comfortable with ambiguity and able to switch from a spreadsheet to a difficult conversation in the same hour.

Certifications & SkillsStrongly preferred:
- PMP or equivalent senior project management credential.
- Agile / Scrum certification (CSM, PSM, PMI-ACP or similar).
- Hands-on experience with OKRs and modern goal-setting frameworks.
- Hands-on experience with Asana, Notion or similar tools.

A strong plus

- SAFe or other scaled-agile experience.
- Change management certification (e.g. Prosci / ADKAR) — adoption matters as much as design.
- Lean / Six Sigma or other process-optimisation background.
- Experience using Claude or other AI tools to work faster and better.
- Exposure to regulated, digital health or medical software environments.

The Details
- Type: Full-time, permanent.
- Location: Remote, based in India.
- Working hours: Reliable daily overlap with European (CET) working hours, with flexibility to connect with US East Coast colleagues when needed.
- Reports to: Group CEO.
- Team: You'll work directly with the Group CEO and department heads across Poland, Germany and the US.
