Job Overview:
Our client is primarily looking for an experienced Bookkeeping Systems Specialist who can review, clean up, reconcile, organize, and improve existing bookkeeping for their primary company, as well as establish an appropriate accounting and bookkeeping system for their non-profit partner initiative.
Schedule: Monday to Friday, 9:00 AM to 6:00 PM US Central Time, with a 1-hour unpaid break; Full-time, 40 work hours per week
Responsibilities:
- Financial Cleanup (Primary Company): Review and reconcile existing bookkeeping records, including chart of accounts, expense categorization, accounts receivable/payable, contractor payments, and payment‑processing transactions. Standardize categories, eliminate duplicates, and ensure accurate Profit & Loss and Balance Sheet reporting.
- System Development (Primary Company): Establish consistent bookkeeping procedures, create monthly and year‑end checklists, and document SOPs to maintain organized financial records after cleanup.
- Nonprofit Infrastructure (Partner Initiative): Design and implement a nonprofit chart of accounts, income/expense categories, and donation/contribution procedures. Establish systems for documenting expenses, tracking restricted/unrestricted funds, and managing grant accounting.
- Grant & Compliance Tracking (Partner Initiative): Build processes for grant budget‑versus‑actual reporting, receipt/invoice retention, and compliance documentation. Create templates for leadership, board, and grant reporting.
- Sustainable Systems: Develop SOPs, manuals,
and reconciliation/reporting procedures to ensure both organizations maintain accurate, compliant, and scalable financial systems as they grow.
Requirements:
- Proven experience in small‑business bookkeeping and nonprofit accounting, including grant accounting and restricted‑fund tracking.
- Strong proficiency with QuickBooks Online, Stripe/payment processors, and bank reconciliation.
- Demonstrated ability to review, clean up, and reconcile complex bookkeeping records, ensuring accuracy and compliance.
- Knowledge of nonprofit chart of accounts, donation tracking, and grant budget‑versus‑actual reporting.
- Excellent organizational skills with the ability to create SOPs, checklists, and written procedures for sustainable bookkeeping systems.
- Robust analytical and communication skills; able to work independently and deliver clear recommendations.
