Job Summary

Position Overview: The ideal candidate will have extensive experience in payroll processing and related activities, including monthly payroll inputs, reconciliation, and statutory compliance. This role involves managing gratuity renewal processes, attendance, leave management, and coordinating exit formalities. The position will report to Officer, People Operations.

Responsibilities

Payroll Processing

- Coordinate with the payroll vendor for end-to-end monthly payroll processing.

- Provide, validate, and reconcile monthly payroll inputs and ensure timely submission to the vendor.

- Review payroll outputs and coordinate with the vendor to resolve discrepancies and queries.

- Ensure timely completion of payroll activities in accordance with defined timelines.

Full &
- Final Processing

- Coordinate with the payroll vendor for end-to-end Full &
- Final settlement processing for exiting employees.

- Provide and validate the required inputs for Full &

- Final settlement, including leave balances, recoveries, deductions, and other applicable components.

- Review Full &

- Final calculations and coordinate with the vendor to resolve discrepancies and ensure timely settlement.

- Track the status of Full &

- Final settlements and ensure completion within the defined timelines.

Insurance Renewals

- Coordinate the renewal and administration of employee medical insurance and other applicable benefits.

- Maintain accurate records of employee additions, deletions, and changes related to insurance coverage.

- Maintain documentation related to employee advantages and insurance.

- Coordinate with relevant vendors/stakeholders to ensure timely renewal and resolution of insurance-related matters.

Contract Renewals





- Track employment contracts and ensure timely renewal and communication to employees.

- Maintain records of employment contracts, agreements, and related documentation.

- Track contract terminations and ensure timely completion of required processes.

- Oversee employee probation timelines and ensure smooth and timely processing.

Compliance

- Support the administration and management of statutory compliance requirements, including PF and Gratuity.

- Coordinate the Gratuity renewal process and maintain monthly addition and deletion records.

- Maintain documentation related to retirement funds, statutory benefits, and other employee benefits.

- Ensure employee records and compliance documentation are maintained accurately and updated on a timely basis.

- Any other coordination required related to compliance under wage code.

Audit Support

- Provide HR-related data, records, and documentation required for internal and external audits.

- Support data collation and validation for audit requirements.

- Maintain employee personal files, contracts, agreements, policies, and other HR documentation in an organized manner.

- Ensure employee records and backups are maintained accurately on Workday and SharePoint.

- Support process improvements related to Workday leave management, SOPs, employee records, and documentation.

Attendance &
- Leave Management

- Coordinate and compile employee attendance and leave data across all state offices and ensure timely updates in the HRIS.

- Consolidate state-wise leave records and prepare and disseminate periodic leave reports on a quarterly basis.





- Coordinate with state teams to ensure accuracy and completeness of attendance and leave data.

- Support the implementation and refinement of Workday leave management processes and SOPs across all state offices.

- Maintain accurate and up-to-date consolidated attendance and leave records for organizational reporting and reference.

HR Operations &
- Program Support

- Prepare and monitor monthly cash forecasts for People Operations-related expenses and coordinate with relevant stakeholders/vendors to ensure timely financial planning.

- Draft HR-related letters and employee communications as required.

- Facilitate HR-related procurement in accordance with approved procurement policies.

- Provide logistical and administrative support for HR-anchored programs.

- Manage follow-ups related to Professional Development activities.

- Provide support for monthly People Operations team activities.

- Provide extensive backend and coordination support for Annual Planning &
- Budgeting (AP&B;) activities.

Qualifications

Required

- Demonstrated ability to design and implement Human Resources programs and initiatives, preferably in development sector.

- Bachelor s degree with minimum of four (04) years of professional experience in HR position.

- General knowledge of the principles and practices of personnel administration.

- Demonstrated strategic approach to HR with the ability and willingness to also execute the tactical elements of the job.

- Ability to work within narrowly defined objectives under general supervision

- Ability to effectively address well defined problems of moderate complexity and complete moderately complex assignments.
