Job Summary The Assistant to the Director – Medical Services supports the Director in day-to-day hospital administration, clinical coordination, regulatory compliance, and strategic initiatives. The role acts as a key liaison between the Director's office and clinical departments, administration, HR, procurement, and external regulatory/scheme bodies, ensuring smooth execution of directives and follow-through on action items.
Key Responsibilities
- Manage the Director's calendar, meetings, correspondence, and follow-ups; prepare briefing notes and agendas.
- Coordinate between clinical departments, administration, HR, procurement, and finance to track action items originating from the Director's office.
- Draft, proofread, and format official communications, circulars, reports, and presentations on behalf of the Director.
- Assist in monitoring compliance with regulatory and scheme requirements (NABH, NHA/Ayushman Bharat PM-JAY, ESIC, CGHS), including documentation and submission timelines.
- Support preparation and consolidation of MIS reports — attendance, payroll, procurement, and operational dashboards — for the Director's review.
- Liaise with external stakeholders, including government bodies, empanelment agencies, vendors, and auditors, as directed.
- Maintain confidential records, files, and documentation related to hospital governance and administration.
- Track deadlines for licenses, renewals, audits, and accreditation milestones,
flagging risks proactively.
- Assist in organizing hospital events, training sessions, and internal communications (including social media/content coordination as needed).
- Undertake special projects and research assignments as delegated by the Director.
- To assist in hiring Consultant Drs through connects, Job protals, background checks etc.
Required Qualifications
- Bachelor's degree in Hospital Administration, Healthcare Management, Business Administration, or related field (MHA/MBA preferred).
- 2–5 years of experience in hospital administration, executive assistance, or healthcare operations support.
- Working knowledge of Indian healthcare regulatory and insurance scheme frameworks (NABH, PM-JAY, ESIC, CGHS) is an advantage.
Key Skills & Competencies
• Strong written and verbal communication skills; skilled correspondence drafting.
- High proficiency in MS Office / Excel; comfort with dashboards and data-driven reporting.
- Excellent organizational skills with ability to manage multiple priorities and confidential information.
- Discretion, dependability, and sound judgment in representing the Director's office.
- Ability to work cross-functionally with clinical and non-clinical staff.
Reporting Relationship
Directly reports to the Director. Works closely with department heads, HR, procurement, and compliance teams.
