Job Summary
We are looking for a hands-on Assistant Manager HR, IR & Admin to independently manage the complete HR, Industrial Relations and Administration function at our Sayakha manufacturing plant.
The position will be responsible for managing plant HR operations, contractual manpower, employee grievances, IR matters, recruitment, attendance, payroll inputs, statutory/local compliance coordination, employee transportation, canteen, security, housekeeping and other plant administration activities.
The role will have functional reporting to the Senior Manager HR, IR & Admin at Head Office and matrix reporting to the Unit Head and VP Operations.
The ideal candidate should have solid experience in plant HR / factory HR, be comfortable dealing with workmen and contractual manpower, and be capable of independently managing day-to-day HR & Admin operations.
Key Responsibilities
Plant HR & Employee Relations
- Manage complete day-to-day HR operations for the Sayakha plant.
- Act as the HR SPOC for employees, workmen and contractual manpower.
- Handle employee grievances, disciplinary matters and day-to-day IR issues.
- Maintain positive and disciplined employee relations.
- Identify potential IR issues and escalate critical matters to HO HR and plant management.
- Implement HR policies, processes and SOPs at the plant.
Contractual Manpower
- Manage contractual manpower deployment and attendance.
- Coordinate with manpower contractors for manpower requirements, absenteeism and replacements.
- Verify contractor attendance, manpower deployment and payroll/wage inputs.
- Monitor contractor documentation and applicable statutory compliance.
- Maintain monthly contractual manpower MIS.
Recruitment & Manpower Planning
- Handle recruitment for staff, supervisory, technical and workmen positions.
- Coordinate with HO HR and plant departments for manpower requirements.
- Source, screen and coordinate interviews.
- Manage joining formalities, induction and employee documentation.
- Maintain recruitment and vacancy trackers.
Attendance, Leave & Payroll
- Manage employee attendance and leave records.
- Monitor absenteeism, late coming, overtime and shift attendance.
- Prepare and validate monthly payroll inputs.
- Verify payable days, LOP, overtime, incentives, deductions and other payroll inputs.
- Coordinate with HO HR/Payroll for monthly payroll closure.
- Resolve employee attendance and salary-related queries.
Compliance & IR
- Coordinate applicable labour and local statutory compliances.
- Maintain statutory records, registers and compliance documentation.
- Coordinate contractor compliance documentation.
- Support statutory inspections, notices and labour authority matters.
- Maintain compliance calendar and escalate any compliance gaps.
- Support HO HR in labour/IR-related matters and investigations.
Administration & Facilities
- Manage day-to-day plant administration and employee facilities.
- Manage canteen operations, vendor coordination, hygiene and employee feedback.
- Manage employee transportation from Bharuch and nearby locations, including routes, vendors, deployment and employee concerns.
- Manage housekeeping and other facility/service vendors.
- Coordinate employee welfare and engagement activities.
Security Management
- Manage coordination with the plant security agency.
- Monitor security manpower deployment, attendance and shift coverage.
- Ensure proper gate entry/exit, visitor management and vehicle movement controls.
- Maintain security-related records and incident reports.
- Monitor security incidents, unauthorized access, theft/loss or other security concerns.
- Coordinate with security agency and plant management for corrective actions.
- Verify security agency deployment before processing bills.
HR MIS & Reporting
- Submit daily HR & Admin updates to HO HR.
- Prepare weekly/monthly manpower and HR MIS.
- Track manpower, absenteeism, recruitment, attrition, contractual manpower, grievances, payroll and compliance.
- Immediately escalate critical employee, IR, compliance, security or administrative issues.
Candidate Profile
- Graduate in any discipline; MBA/PGDM HR preferred.
- 7 to 13 years of relevant experience, preferably in manufacturing/chemical/process industry.
- Strong exposure to Plant HR / Factory HR.
- Practical experience in Industrial Relations and contractual manpower management.
- Working knowledge of labour laws and statutory compliance.
- Strong experience in attendance, payroll inputs and HR operations.
- Good recruitment and manpower planning experience.
- Good knowledge of MS Excel, Word and PowerPoint.
- Strong documentation and HR MIS skills.
- Good communication and employee-handling skills.
- Should be comfortable working directly with workmen, contractors, vendors and plant leadership.
- Should have an ownership mindset and ability to work independently.
