Role Overview
Testing Grounds Private Limited is a merchant-trading and export-import company operating in the packaging industry. We are looking for a detail-oriented Accounts Executive to manage day-to-day accounting, banking activities, payment processing, reconciliations and financial documentation.
The candidate should be comfortable coordinating with banks, vendors, customers, consultants, and internal departments. Experience in an export-import, trading, manufacturing or packaging-related company would be preferred.
Key Responsibilities
1. Day-to-Day Accounting
- Record purchase, sales, receipt, payment, journal, debit note, and credit note entries.
- Maintain accurate ledgers and books of accounts.
- Verify invoices and supporting documents before recording transactions or processing payments.
- Maintain appropriate cost-centre, project and expense classifications.
- Assist with periodic closure of books by ensuring that all entries and reconciliations are complete.
- Maintain organised supporting documentation for every accounting entry.
2. Accounts Payable and Vendor Management
- Verify vendor invoices against purchase orders, approvals and supporting documents.
- Maintain vendor ledgers and conduct periodic reconciliations.
- Prepare payment lists based on approved invoices and applicable due dates.
- Track vendor advances, outstanding balances, debit notes and credit notes.
- Coordinate with Purchase and Operations to resolve invoice or payment discrepancies.
- Maintain vendor KYC, bank details and payment documentation.
- Process vendor payments after receiving the required internal approvals.
3. Accounts Receivable and Customer Billing
- Prepare domestic and export sales invoices accurately and on time.
- Maintain customer ledgers and track outstanding receivables.
- Follow up internally regarding overdue invoices and collections.
- Record and reconcile customer payments.
- Track advances, deductions, short payments and credit adjustments.
- Maintain supporting documents for all customer billing and receipts.
4. Banking and Payment Processing
- Prepare and initiate payments through authorised banking channels.
- Follow the approved maker-checker process for banking transactions.
- Perform bank, credit-card and payment-gateway reconciliations.
- Record bank charges, foreign-exchange conversions and transaction fees.
- Maintain payment acknowledgements, bank advice, receipts and supporting records.
- Assist with documentation for working-capital limits, packing credit and other banking facilities.
- Coordinate with banks for account updates, authorised signatories and internet-banking access.
- Track transaction status and confirm successful completion of payments.
5. Export-Import Accounting and Documentation
- Record and maintain export and import transactions.
- Coordinate with Logistics and Operations for commercial invoices, packing lists, shipping bills and related documents.
- Track export proceeds and reconcile foreign-currency receipts against invoices.
- Maintain bank-realisation documents, e-BRCs and related export records, wherever applicable.
- Maintain records relating to IEC, LUT, RCMC and other export-import registrations.
- Record foreign-exchange gains or losses and applicable bank charges based on the supporting documents.
- Coordinate with banks, customs brokers and consultants for required information and documentation.
- Maintain proper records for foreign-currency transactions and export-related banking activities.
6. CA and Compliance Coordination
- Provide accurate accounting data and supporting documents to the CA as required.
- Share invoices, ledgers, reconciliations and payment records within the agreed timelines.
- Maintain statutory challans, returns and acknowledgements received from the CA.
- Process statutory payments based on calculations and written instructions received from the CA and after obtaining the required approvals.
- Respond to documentation queries raised by the CA and coordinate internally to obtain missing records.
- Maintain a calendar of information and documents required to be submitted to the CA.
- Escalate delays or missing information to the Accounts Manager.
The Accounts Executive will support the CA through accurate documentation and coordination but will not be responsible for statutory calculations, return filing, MIS preparation or cash-flow reporting. 7. Payroll and Employee-Related Accounting
- Coordinate with HR for approved payroll inputs and salary-payment processing.
- Record salary, reimbursement, advance and full-and-final settlement entries.
- Verify employee expense and reimbursement claims against approved documents and policies.
- Process approved reimbursements and employee-related payments.
- Maintain supporting records for payroll and employee transactions.
8. Audit and Documentation
- Maintain properly organised physical and digital accounting records.
- Ensure that every transaction has the required supporting documentation and approval.
- Prepare and provide accounting records for statutory, internal, tax and financial audits.
- Coordinate with the Accounts Manager, CA and auditors to address documentation queries.
- Track open audit requirements and provide the necessary supporting records.
- Support the migration and maintenance of accounting records in the company's ERP platform.
- Follow the company's prescribed folder structure, file-naming and document-retention requirements.
Educational Qualifications Candidates should possess any one of the following or an equivalent qualification:
- B.Com. in Accounting, Finance or Commerce
- Bachelor's degree in Finance or Accounting
- Diploma in Finance or Accounting
- CA Intermediate
- CMA Intermediate
- Equivalent recognised accounting or finance qualification
Required Skills
- Working knowledge of accounting principles and bookkeeping.
- Practical understanding of purchase, sales, payment and receipt accounting.
- Basic familiarity with GST, TDS and statutory documentation for coordination purposes.
- Familiarity with export-import accounting and documentation.
- Proficiency in Microsoft Excel or Google Sheets.
- Experience with Tally.
- Strong numerical accuracy and attention to detail.
- Ability to maintain confidential financial information.
- Good follow-up, documentation and coordination skills.
- Ability to manage multiple deadlines and priorities.
- Transparent written and verbal communication skills.
Preferred Experience
- Experience in a merchant-export, import-export, trading, manufacturing or packaging company.
- Exposure to foreign-currency transactions and export banking documentation.
- Experience coordinating with banks, auditors, consultants and government portals.
- Familiarity with maker-checker banking processes and working-capital facilities.
