Description

Job Summary

We are looking for a well-organized and proactive Admin Executive to manage day-to-day administrative operations, front desk responsibilities, travel arrangements, and office coordination. The ideal candidate should have positive communication skills, a professional attitude, and the ability to handle multiple tasks efficiently.

Key Responsibilities

1. Front Desk & Reception

- Manage the reception area and welcome visitors, clients, and guests professionally.
- Handle incoming and outgoing calls, emails, courier, and mail.
- Maintain visitor records and coordinate visitor appointments.
- Manage meeting room bookings and support meeting arrangements.
- Ensure a professional and organized front-office environment.

2. Travel Management

- Coordinate domestic and international travel arrangements for employees and management.
- Book flights, trains, hotels, cabs, and other transportation as required.
- Prepare and maintain travel itineraries and schedules.
- Coordinate airport transfers and local transportation.
- Support employees with travel-related requirements and documentation.
- Maintain travel records and assist with travel expense coordination.

3. General Administration





- Handle day-to-day office administrative activities.
- Maintain office supplies, stationery, and inventory.
- Coordinate with vendors, housekeeping, security, maintenance, and other service providers.
- Manage courier and dispatch activities.
- Maintain administrative records, documents, and files.
- Assist with office events, meetings, employee engagement activities, and celebrations.
- Monitor office facilities and coordinate repairs and maintenance.
- Support management and employees with administrative requirements.

4. Coordination & Communication

- Coordinate with internal departments and external vendors.
- Prepare reports, trackers, and administrative documents.
- Follow up on pending administrative tasks and ensure timely completion.
- Maintain confidentiality of company and employee information.
- Perform other administrative duties as assigned by management.

Experience

- 1–3 years of experience in administration, front office, travel desk, or office coordination.
- Experience in corporate administration and travel coordination will be an advantage.

Education

- Graduate in any discipline; preferably Business Administration, Management, or a related field.
