Job Summary
We are looking for an experienced and well-organized Hospital Admin Assistant to support the day-to-day administrative and operational activities of the hospital. The candidate will coordinate with doctors, nursing staff, patients, vendors, and various hospital departments to ensure smooth and efficient operations.
Key Responsibilities
- Handle day-to-day administrative activities and office coordination.
- Maintain hospital records, files, reports, and documentation.
- Coordinate with different departments including Nursing, Medical, HR, Accounts, Front Office, and Operations.
- Assist hospital management with daily administrative tasks and follow-ups.
- Prepare letters, reports, presentations, MIS, and other official documents.
- Maintain attendance, staff records, schedules, and other administrative data.
- Coordinate meetings, appointments, internal communications, and follow-ups.
- Assist in maintaining hospital policies, procedures, and administrative documentation.
- Coordinate with vendors and service providers whenever required.
- Monitor office supplies, stationery, and other administrative requirements.
- Handle incoming calls, emails, correspondence, and official communication.
- Support patient-related administrative coordination when required.
- Maintain confidentiality of patient, employee, and hospital information.
- Assist in audits, inspections, accreditation-related documentation, and compliance activities.
- Prepare daily/weekly/monthly administrative reports for management.
- Follow up with departments to ensure timely completion of assigned tasks.
- Handle any other administrative responsibilities assigned by hospital management.
Required Skills
- Good communication and interpersonal skills.
- Solid administrative and organizational abilities.
- Good knowledge of MS Office, Excel, Word, and email communication.
- Ability to prepare reports and maintain accurate records.
- Good coordination and follow-up skills.
- Ability to work under pressure in a hospital environment.
- Professional attitude and good interpersonal skills.
- Strong attention to detail and confidentiality.
- Ability to coordinate effectively with doctors, nurses, patients, staff, and management.
Preferred Candidate
- Graduate in any discipline.
- 3–5 years of experience in hospital/healthcare administration preferred.
- Candidates with experience in hospital operations, administration, or healthcare coordination will be preferred.
