Key Responsibilities1. Office Administration

- Manage daily office administration and ensure smooth functioning of the workplace.
- Maintain office supplies, stationery, equipment, and other operational requirements.
- Monitor attendance, punctuality, and general office discipline.
- Coordinate meeting rooms, office arrangements, events, and internal activities.
- Maintain proper filing and documentation of administrative records.
- Handle incoming and outgoing correspondence and official communications.
- Ensure office policies and administrative procedures are followed.

2. Facility & Infrastructure Management

- Coordinate office maintenance, housekeeping, security, internet, electricity, and other facilities.
- Ensure a clean, safe, and professional working setting.
- Coordinate with building management, maintenance teams, and service providers.
- Report and resolve facility-related issues promptly.
- Maintain records of company assets, furniture, equipment, and office infrastructure.

3. Vendor & Supplier Management

- Identify and coordinate with vendors for office requirements.
- Obtain quotations and compare pricing before purchases.
- Maintain vendor records and agreements.
- Monitor vendor performance, service quality, and timelines.
- Coordinate invoices and payment-related documentation with the Finance team.
- Negotiate with vendors wherever applicable to achieve cost efficiency.

4. Procurement & Inventory

- Manage procurement of stationery, IT accessories, office supplies, pantry requirements, and other administrative materials.
- Maintain minimum and maximum inventory levels.
- Track stock movement and conduct periodic inventory checks.
- Raise purchase requests and coordinate approvals.
- Ensure timely availability of essential office requirements.

5. Employee Support

- Support employees with day-to-day administrative requirements.
- Coordinate onboarding logistics such as seating, access cards, stationery, equipment, and other requirements.
- Coordinate employee transportation, travel, accommodation,



and other arrangements when required.
- Assist HR in employee engagement activities and internal events.
- Address employee administrative concerns and coordinate appropriate solutions.

6. Operations Coordination

- Coordinate with HR, Finance, IT, Sales, and Management to ensure smooth business operations.
- Monitor operational requirements and ensure timely completion of assigned activities.
- Prepare daily/weekly/monthly operational reports.
- Identify operational gaps and recommend improvements.
- Implement standard operating procedures and ensure compliance.
- Maintain proper documentation for operational processes.

7. Travel & Event Management

- Coordinate business travel, hotel bookings, transportation, and related arrangements.
- Support management meetings, client visits, conferences, and company events.
- Coordinate internal meetings and employee activities.
- Ensure all logistical requirements are arranged in advance.

8. Asset Management

- Maintain an updated record of company assets.
- Track allocation and return of laptops, desktops, mobile phones, access cards, furniture, and other company property.
- Coordinate with the IT team regarding IT assets.
- Conduct periodic asset verification.
- Maintain proper documentation for asset handover and return.

9. Compliance & Documentation

- Maintain administrative records and statutory/operational documentation as applicable.
- Ensure licenses, agreements, AMC contracts, insurance documents, and other operational documents are tracked and renewed on time.
- Maintain confidentiality of company and employee information.
- Support internal audits and management reviews.

10. Cost Control

- Monitor administrative expenses and identify opportunities for cost reduction.
- Ensure purchases are made within approved budgets.
- Track recurring expenses such as rent, utilities, housekeeping, security, internet, maintenance, and subscriptions.
- Submit expense reports and supporting documents to Finance.

Pay: ₹15,000.00 - ₹25,000.00 per month
