Role & responsibilities

The Officer HR Operations, Payroll & MIS will support payroll administration, attendance and leave management, employee documentation, onboarding, HR reporting, employee data management, and routine HR operations.

The role requires accuracy, confidentiality, analytical ability, and timely coordination with employees, reporting managers, Finance, IT, Administration, and other stakeholders.

1. Payroll Coordination

- Coordinate the monthly payroll-input process for employees.
- Compile and validate attendance, leave, loss of pay, new joining, separation, reimbursement, arrears, and other payroll-related inputs.
- Ensure that payroll inputs are accurate, approved, and submitted within defined timelines.
- Verify payroll outputs against approved inputs and coordinate correction of discrepancies.
- Maintain payroll-input trackers and supporting documentation.
- Respond to routine employee queries relating to salary inputs, attendance, leave, and deductions.
- Support payroll reconciliations, audits, and reporting requirements.
- Maintain strict confidentiality of payroll and compensation information.

2. Attendance and Leave Management

- Maintain and monitor employee attendance and leave records.
- Track missed punches, attendance discrepancies, pending leave applications, and regularisation requests.
- Follow up with employees and reporting managers for timely closure.
- Prepare monthly attendance and leave summaries for payroll processing.
- Support employees in resolving attendance and leave-related queries.
- Ensure adherence to applicable attendance and leave policies.

3. HR MIS and Analytics

- Prepare monthly, quarterly, and annual HR MIS reports.
- Maintain dashboards and trackers covering headcount, employee movement, payroll, attendance, leave, onboarding, training, recruitment, and off-roll manpower.
- Analyse HR data and highlight exceptions,



delays, trends, and pending actions.
- Prepare reports and presentations for management review.
- Support automation and improvement of HR dashboards and reporting processes.
- Use MS Excel, Power BI, and other reporting tools to improve data visibility.

4. Employee Data and Records Management

- Maintain and update employee master data across HR systems and trackers.
- Record employee joining, transfer, promotion, redesignation, reporting, location, and separation details.
- Create and maintain employee personal files and digital records.
- Collect, verify, organise, and archive employee documents.
- Conduct periodic checks to identify missing, outdated, duplicate, or inconsistent records.
- Support data cleansing, digitisation, document retrieval, and audit requirements.
- Ensure confidentiality and secure handling of employee information.

5. Onboarding and Employee Lifecycle Administration

- Coordinate pre-joining documentation and joining formalities.
- Liaise with selected candidates and communicate document requirements.
- Coordinate with IT, Administration, Finance, and hiring managers to ensure onboarding readiness.
- Facilitate induction, employee record creation, and completion of joining documentation.
- Maintain onboarding checklists and track pending activities.
- Support post-joining, transfer, confirmation, and separation documentation.
- Prepare standard employee letters, forms, declarations, and certificates as required.

Employee Query and Stakeholder Management

- Act as a point of contact for routine queries relating to payroll inputs, attendance, leave, employee records, and HR processes.
- Coordinate with employees, managers, HR colleagues, Finance, IT, and Administration.
- Follow up for timely submission of documents, approvals, and payroll inputs.
- Escalate sensitive or unresolved matters to the reporting manager.
- Maintain skilled and service-oriented communication.

Preferred candidate profile

Qualification and Experience

- Graduate or postgraduate qualification in Human Resources, Management, Business Administration, Commerce, or a related field.
- MBA or postgraduate qualification in HR will be preferred.
- 2 to 5 years of relevant experience in payroll coordination, HR operations, HR MIS, attendance, leave management, onboarding, or employee data management.
- Experience in a corporate, logistics, manufacturing, infrastructure, or service-sector organisation will be an advantage.
