Position Summary The HR Shared Services Specialist delivers accurate, timely, and customer-focused HR support across the employee lifecycle. As a primary point of contact for employees and managers, the role processes HR transactions, maintains high-quality employee data, resolves inquiries,
coordinates with partner teams, and helps ensure a consistent employee experience across supported regions. The Specialist also contributes to compliance, reporting, knowledge management, and continuous improvement of HR services and systems.
Key Responsibilities
- Provide first-line HR support to employees and managers through designated service channels, resolving inquiries within established service levels and escalating complex matters appropriately.
- Process employee lifecycle transactions, including new hires, onboarding, promotions, transfers, compensation and personal data changes, leaves, and terminations.
- Prepare and maintain employee documentation such as offer, transfer, promotion, confirmation, verification, reference, and separation letters using approved templates.
- Maintain accurate and complete employee records in Oracle HCM/myHR and related systems; perform regular audits, reconciliations, and data validation to protect data integrity.
- Coordinate onboarding and pre-employment activities, including documentation, background verification, and Day 1 readiness with Talent Acquisition, IT, Payroll, Security, and other partners.
- Partner with Payroll and Benefits teams to provide accurate and timely inputs for hires, changes, enrollments, and exits, and help resolve employee questions or discrepancies.
- Manage offboarding activities, including required documentation, final-pay inputs, system notifications, and completion of regional exit requirements.
- Generate recurring and ad hoc HR reports, identify data issues and service trends, and support business, audit, and compliance requests.
- Maintain standard operating procedures, knowledge articles, templates, and training materials; provide clear guidance on HR processes and self-service tools.
- Review system updates, support testing and implementation of new functionality, and assist with user training and change communications.
- Identify opportunities to simplify processes, improve first-time-right quality, strengthen controls, and enhance the employee and manager experience.
- Handle personal and confidential information in accordance with company policies, data privacy requirements, and applicable employment standards.

Qualifications And Experience
- Bachelor’s degree in Human Resources, Business Administration, Information Systems, or a related field; an equivalent combination of education and experience may be considered.
- Two to four years of experience in HR operations, HR shared services, HR administration, or a customer-facing service workplace.
- Experience processing employee lifecycle transactions and maintaining confidential personnel records.
- Working knowledge of an HR information system; Oracle HCM experience is strongly preferred.
- Proficiency in Microsoft Office, particularly Excel, Outlook, and Word.
- Experience with case-management or ticketing tools, service-level measures, and knowledge documentation is an asset.
- Exposure to multi-country HR operations, payroll or benefits coordination, audits, and regional compliance requirements is preferred.
- Fluent written and verbal English is required; additional language capability relevant to the supported regions is an asset.

Shift Timing: 2:30 PM to 11:00 PM (candidate should be flexible with working hours, if required). Candidate Preference: Male candidate preferred.
