Designation: Executive Assistant to Director – Innovation & Growth & Trustee – SCES
Preferred Educational Qualification: Bachelor’s or Master’s degree from a recognized university
Experience: Minimum 4+ years of relevant experience as an Executive Assistant, Personal Assistant, Executive Coordinator, Management Assistant, or in a similar role supporting Senior Management, CXOs, Directors, Trustees, Founders, or Business Leaders.
Preferred Experience:
- Experience in managing executive calendars, meetings, travel, correspondence, and confidential documentation.
- Experience in coordinating with senior leadership, government authorities, corporate executives, industry professionals, and other key stakeholders.
- Prior experience in handling strategic projects, business coordination, research, presentations, MIS, and executive-level reporting will be an added advantage.
- Candidates with experience in Education, Corporate, Consulting, Startups, Business Development, Innovation, or other professional organizations will be preferred.
- Exposure to national and international travel coordination, leadership events, conferences, strategic meetings, and stakeholder engagements will be an advantage.
Role Summary: The Executive Assistant will provide high-level administrative, organizational, strategic, and coordination support to the Director – Innovation & Growth and Trustee of Shri Chanakya Education Society (SCES). The role requires exceptional organizational abilities, strong business communication skills, discretion, and the ability to manage multiple priorities in a dynamic and fast-paced environment.
The Executive Assistant will serve as a key coordination point between the Director, Trustee, senior leadership, internal teams, business partners, government authorities, industry professionals, and other important stakeholders. The role will involve managing schedules, meetings, travel, correspondence, documentation, strategic initiatives, research, presentations, events, and follow-ups.
The position requires a proactive, well-organized, and highly skilled individual who can anticipate requirements, independently coordinate critical assignments, maintain confidentiality, and ensure timely execution of strategic and operational priorities. The individual should possess a polished professional demeanor, strong business communication and etiquette, excellent interpersonal abilities, and flexibility to travel nationally and internationally as required.
Roles and Responsibilities:
- Manage the Director’s calendar, meetings, appointments, engagements, and daily priorities, ensuring optimal utilization of time.
- Coordinate meetings, conferences, review sessions, strategic discussions, and engagements with internal and external stakeholders.
- Organize complex domestic and international travel arrangements, including flights, accommodation, visas, transportation, and detailed itineraries.
- Handle incoming and outgoing correspondence, including emails, calls, letters, and other communications with professionalism and discretion.
- Maintain, organize, and safeguard confidential documents, records, reports, agreements, presentations, and other sensitive information.
- Prepare meeting agendas, briefing documents, presentations, minutes of meetings, and action trackers, ensuring timely follow-up and closure.
- Coordinate with senior leadership, functional heads, academic leaders, business teams, government officials, industry representatives, business partners, and other stakeholders on behalf of the Director.
- Draft professional letters, reports, executive summaries, presentations, proposals, concept notes, and other business communications.
- Conduct research on emerging industries, business opportunities, innovation, technology, education, startups, market trends, and potential strategic partnerships.
- Support the Director in evaluating new business opportunities, strategic initiatives, collaborations, partnerships, and innovation-led projects.
- Prepare background research, industry insights, competitor analysis, market intelligence, and briefing notes to support strategic decision-making.
- Coordinate and track strategic projects and initiatives led by the Director, ensuring timely execution and reporting.
- Assist in organizing leadership meetings, business conferences, innovation forums, networking events, institutional events, and stakeholder engagements.
- Ensure appropriate corporate protocol, professional etiquette, confidentiality, and standards of communication during all engagements.
- Coordinate with various departments and ensure timely completion of assignments delegated by the Director.
- Maintain comprehensive trackers for meetings, commitments, projects, follow-ups, approvals, and critical deliverables.
- Monitor important deadlines, commitments, appointments, and action items and proactively follow up with relevant stakeholders.
- Assist in preparing MIS reports, dashboards, presentations, analytical summaries, and management reports for review.
- Support the Director in communication and coordination with Trustees, senior management, institutional leadership, government authorities, industry leaders, investors, entrepreneurs, consultants, and strategic partners.
- Assist in planning and coordinating national and international visits, business meetings, institutional collaborations, strategic engagements, and special assignments.
- Accompany the Director and Trustee for important meetings, conferences, events, and assignments nationally and internationally, whenever required.
- Handle urgent and time-sensitive assignments with flexibility, ownership, and a solution-oriented approach.
- Anticipate the Director’s requirements and proactively arrange necessary information, documents, meetings, resources, and logistics.
- Maintain a high degree of confidentiality, integrity, and professionalism while handling sensitive organizational, strategic, financial, and personal information.
- Build and maintain professional relationships with key internal and external stakeholders on behalf of the Director.
- Demonstrate excellent interpersonal skills and maintain a polished, poised, and highly professional demeanor while interacting with senior executives and external stakeholders.
- Ensure seamless coordination between the Director’s office and various departments for smooth execution of priorities and initiatives.
- Support the Director in preparing for presentations, conferences, leadership discussions, business meetings, and strategic reviews.
- Perform any other strategic, administrative, coordination, research, or special assignments entrusted by the Director and Trustee from time to time.
