Job Summary
We are looking for a highly organized, proactive, and professional Executive Assistant to the Director who will provide comprehensive administrative, coordination, and executive support. The candidate will be responsible for managing the Director’s schedule, coordinating meetings and travel, handling confidential information, preparing reports, and ensuring timely follow-up on important tasks and decisions.
Key Responsibilities
- Manage the Director’s calendar, appointments, meetings, and daily schedule.
- Coordinate internal and external meetings, including scheduling and follow-ups.
- Handle emails, correspondence, calls, and other communication on behalf of the Director when required.
- Prepare presentations, reports, MIS, meeting agendas, minutes, and other documents.
- Maintain proper records of important documents, commitments, and confidential information.
- Follow up with department heads and employees on tasks assigned by the Director.
- Coordinate with clients, vendors, business partners, and other external stakeholders.
- Arrange domestic and international travel, including tickets, hotels, transportation, and itineraries.
- Attend meetings with the Director and maintain clear records of discussions and action points.
- Ensure timely completion of tasks and provide regular updates to the Director.
- Handle sensitive and confidential business information with complete discretion.
- Support the Director in day-to-day business coordination and special projects.
- Monitor important deadlines and ensure timely reminders and follow-ups.
- Perform other administrative and coordination responsibilities as assigned by the Director.
Candidate Requirements
- Bachelor’s degree in any relevant discipline.
- 2–5 years of experience as an Executive Assistant, Personal Assistant, Management Assistant, or similar role.
- Excellent verbal and written communication skills.
- Strong knowledge of MS Office –
- Word, Excel, PowerPoint, and Outlook.
- Excellent organizational and time-management skills.
- Ability to handle multiple tasks and priorities simultaneously.
- Strong follow-up and coordination skills.
- Professional personality with positive interpersonal skills.
- High level of confidentiality and discretion.
- Ability to work under pressure and meet deadlines.
- Willingness to travel with the Director, if required.
