Sales & Service Coordinator

Location: Mandideep, Bhopal

Job Purpose To coordinate sales and service activities, order management, invoicing, dispatch, logistics, payment follow-up, documentation, and coordination with internal teams and customers to ensure smooth and timely execution of orders.

Key Responsibilities
Coordinate sales and service activities from order receipt to final delivery and customer support.
Manage purchase orders, order processing, invoicing, and payment follow-ups with customers.
Prepare and submit required sales documents, reports, invoices, delivery documents, and customer reports as per purchase order requirements.
Coordinate dispatch of orders and ensure timely delivery of materials to customers.
Manage logistics activities , including coordination with transporters and tracking of material movement.
Maintain accurate files, records, order documents, invoices, and customer correspondence .
Coordinate with the Procurement Team for material requirements based on sales orders and project requirements.
Maintain inward and outward material/stock records and ensure proper documentation.




Provide price structures and commercial inputs to the Sales Team for preparation of offers and tender submissions.
Coordinate with Sales, Procurement, Stores, Finance, Logistics, and Customers for smooth order execution.
Follow up on pending deliveries, documentation, payments, and customer requirements .
Prepare periodic MIS, order status, dispatch, invoicing, and payment reports for management.
Ensure all activities and documentation comply with company policies and customer purchase-order terms .

Required Skills
Good knowledge of Order Management, Sales Coordination and Invoicing
Understanding of Logistics and Dispatch Management
Basic knowledge of Procurement and Inventory/Stock Management
Robust follow-up and coordination skills
Positive MS Excel, MS Word and documentation skills
Positive communication and customer-handling skills
Ability to coordinate with multiple departments and meet deadlines
Attention to detail and accuracy in documentation

Preferred Qualification & Experience
Qualification: Graduate in Commerce, Business Administration, Engineering or related field.
Experience: 5 years in Sales Coordination, Commercial Operations, Order Management, Logistics or a similar role, preferably in the Power/Engineering/Manufacturing sector .
