Job Overview:
Are you an experienced Australian Financial Planning Administrator looking to advance your career toward paraplanning?
Our client is seeking a detail-oriented skilled with a strong background in Australian financial services —including superannuation and insurance—to support the administration behind client recommendations.
To excel in this role, you must have hands-on experience with AdviserLogic to manage essential client file workflows efficiently. Candidates should also have either completed or commenced their
RG146 qualification to demonstrate their commitment to industry standards. Reporting directly to the Head of Financial Planning Administration , you will play a crucial role in implementing financial advice without directly providing client advice.

Schedule:
Monday - Friday, 09:30 AM - 05:30 PM Melbourne, AEST, with 30 minutes paid break (40 work hours per week)
Responsibilities:
- Task & Workflow Execution: Complete delegated tasks and implement accepted Statements of Advice (SOAs)—including forms, rollovers, account setups, and insurance applications—while keeping tracking registers updated and identifying process bottlenecks.
- Client & Meeting Coordination: Schedule meetings, send confirmations and reminders, track prerequisite documents, and provide timely progress updates to internal teams and clients.
- Data & CRM Management: Maintain accurate, complete client records in Zoho CRM and AdvisersLogic, ensuring proper data entry,
file naming conventions, document traceability, and flagging missing details.
- Provider Liaison: Contact superannuation funds, insurers, and investment platforms to submit documentation, follow up on implementations, and monitor provider timeframes.
- Compliance & Quality Assurance: Collect and organize client documentation according to compliance standards, draft correspondence using approved templates, and ensure all work meets internal quality standards and deadlines.

- Microsoft Office (Outlook, Teams, Word, Excel)
- Provider portals and practice systems
Requirements:
- Experience in an administrative or client service role
- Familiarity with CRM systems and task tracking
- Proficiency in Microsoft Office
Nice to Have (Not Required):
- Experience with AdviserLogic
- Background in Australian financial services (financial planning, superannuation, insurance)
- RG146 completed or commenced
- Interest in progressing toward paraplanning or advice support roles
