Jabalpur

MEI Group is building a high-performance global marketing team in Jabalpur to support Mammoth and a portfolio of international businesses operating across multiple global markets.

We already have an established, fully fitted office in Jabalpur with full workplace amenities. This is not a remote or hybrid position. You will work full time from our Jabalpur office, five days per week as part of a growing global marketing operations team.

We are looking for an experienced Asana Administrator and Marketing Operations Coordinator who can take ownership of our Asana environment and help us operate our internal marketing function with the discipline, visibility and accountability of a professional marketing agency.

This is not a basic project coordinator or task administration role. We need someone who understands how to configure, govern and continuously improve Asana across multiple teams, entities, workflows and stakeholders.

The underlying position requires a minimum of three years' hands-on Asana administration experience and prior involvement in an end-to-end Asana implementation or major redesign.

What You Will Be Responsible For

You will become a key part of the Marketing Operations function and will be responsible for making Asana the operational source of truth for the global marketing team.

Your responsibilities will include

- Audit and improve the existing Asana workplace, removing legacy clutter and creating a clean, scalable architecture.
- Build and administer teams, portfolios, projects, templates, forms, custom fields, permissions, rules and dashboards.
- Convert business processes into clear workflows covering briefing, intake, prioritisation, scheduling, approvals, delivery, reporting and project close-out.
- Maintain executive portfolios, entity marketing plans, team dashboards, workload views and forward demand forecasts.
- Configure and manage Asana-integrated time tracking, estimates, timesheets, approvals and reporting.
- Track workload and capacity across individuals, teams, entities and weeks.
- Monitor planned versus unplanned work and estimated versus actual hours.
- Conduct weekly Asana data-quality audits covering owners, due dates, status, estimates, blockers, overdue work and approvals.
- Build SOPs, onboarding documentation, training materials and short instructional videos.
- Train and support users so the entire organisation follows a consistent operating model.
- Configure and govern Asana automations and maintain controlled system changes.

- Produce weekly and monthly reporting covering utilisation, capacity, delivery reliability, bottlenecks, workflow compliance and continuous improvement opportunities.

These responsibilities reflect the operating and governance requirements established in the full position description.

What We Are Looking For

Essential experience:

- Minimum 3 years of hands-on experience administering and configuring Asana in a live organisation, agency or shared-services environment.

- Experience with Everhour or another Asana-integrated time-tracking/capacity platform.
- Experience with Zapier, Make, Power BI or similar automation/reporting tools.
- Project management, business operations, systems administration or Asana-related qualifications/certifications.

The technical requirements in the position description specifically include advanced Asana administration, integrated time and capacity management, reporting and workflow automation capability.

The Person We Want

You will suit this role if you:

- Love bringing structure to complex environments.
- Notice immediately when data, workflows or processes are inconsistent.
- Are comfortable challenging poor processes rather than simply working around them.
- Can take an unclear business requirement and turn it into a simple operational workflow.
- Are highly organised and accountable.
- Enjoy teaching other people how to use systems properly.
- Can work independently while collaborating with stakeholders across a global organisation.
- Prefer simple,

scalable systems over unnecessary bureaucracy.

What Success Looks Like You won't simply be measured on whether Asana is technically functioning.

Success means

- Every active piece of work has a clear owner, due date, workflow stage and next action.
- Teams can clearly see their workload and available capacity.
- Management has reliable visibility of delivery, capacity and bottlenecks.
- Timesheets and operational data are consistently maintained.
- Planned work is clearly separated from unplanned work.
- Duplicate, stale and incorrectly classified tasks are continually reduced.
- Teams consistently follow the agreed Asana operating model.
- Leadership can trust the information coming from the system.

These measures align directly with the KPIs established for the position, including 100% ownership/status visibility, 95%+ weekly timesheet compliance and visibility of at least 90% of committed work through approved plans. Why Join Us?

This is an opportunity to join a new global marketing capability being built in Jabalpur, rather than simply joining an established local marketing department.

You will

- Work directly with a global business group.

- Work across multiple companies, markets and marketing disciplines.
- Gain exposure to sophisticated marketing operations, systems, automation and reporting.
