Job Purpose
· Lead and manage the Stores and Dispatch function with a strong focus on operational excellence, inventory optimization, digitalization and Continuous Improvement. Ensure timely material availability, high inventory accuracy, efficient material flow, safe storage and on-time dispatch to support manufacturing and project requirements.
· The Stores Manager will be expected to be a self-driven and proactive leader who continuously identifies opportunities to modernize stores operations, improve processes, develop people and reduce inventory and logistics costs.
· The role will drive the transformation of the Stores function from a traditional material-handling operation into a well-organized, technology-enabled and data-driven inventory management function.
Key Responsibilities
1. Stores & Warehouse Management
- Manage end-to-end Stores operations covering material receipt, inspection coordination, identification, storage, preservation, issue, transfer, return and dispatch of raw materials, WIP, finished goods, consumables, spares and project materials.
- Establish and maintain an efficient warehouse layout, bin location system, material identification, segregation, stacking and 5S/6S standards.
- Continuously review warehouse layout and material flow to improve space utilization, accessibility, safety and retrieval time.
- Develop standardized Stores processes and work instructions to ensure consistency and operational discipline.
2. Inventory Management & Optimization
- Maintain high levels of inventory accuracy and material traceability through cycle counting physical verification, reconciliation and systematic variance analysis.
- Establish and monitor minimum/maximum stock levels, reorder points, safety stock and inventory norms in coordination with Procurement, Production and Planning teams.
- Drive reduction of excess, slow-moving, non-moving, obsolete and surplus inventory through structured action plans.
- Implement ABC analysis, inventory ageing, FIFO/FEFO, cycle counting and inventory turnover monitoring.
- Analyse inventory trends and provide management with data-driven recommendations to minimize inventory cost, and to optimize working capital and inventory investment.
- Identify opportunities to reduce material losses, unnecessary stockholding and warehouse operating costs.
3. Digital & Contemporary Stores Transformation
- Drive the modernization of Stores through implementation and effective use of ERP/MRP systems, barcode/QR-code systems, digital traceability and real-time inventory reporting.
- Ensure compliant, accurate and timely ERP transactions for receipts, issues, transfers, returns, consumption, adjustments, scrap and reconciliation.
- Explore and implement appropriate technologies such as MRP/ERP integration with Inventory, barcode scanning, digital bin management, electronic documentation and automated inventory reporting.
- Develop dashboards and reports to provide visibility of inventory accuracy, ageing, material availability, stock movements and warehouse performance.
- Identify opportunities to reduce manual processes and improve transaction accuracy through digitalization and automation.
4. Material Flow & Production Support
- Ensure timely availability of materials to support manufacturing and project requirements.
- Establish an effective material flow system covering Raw Material → WIP → Machining/Fabrication → Subcontracting → Assembly → Finished Goods → Dispatch.
- Maintain effective control and traceability of WIP, fabricated and machined components throughout the production process.
- Coordinate closely with Production, Planning, Procurement, Quality, Projects and Sales to resolve material availability issues proactively.
- Identify potential material shortages and bottlenecks before they impact production or customer delivery.
5. Subcontracting & External Processing
- Control material movement to and from subcontractors, job workers and external processing agencies.
- Ensure proper documentation, material traceability, quantity reconciliation and timely return of materials.
- Monitor subcontractor material ageing and take proactive action to prevent delays and material losses.
6. Dispatch
- Plan and manage inbound and outbound dispatches, including vehicle planning, loading, unloading, packing, transportation and dispatch.
- Ensure on-time dispatch in line with customer and project delivery requirements.
- Optimize transportation costs while maintaining delivery reliability.
- Ensure safe handling, packing, securing and transportation of magnets, machined components and other sensitive materials.
- Coordinate with internal teams and logistics partners to resolve transportation and delivery issues quickly.
7. Safety, Compliance & Risk Management
- Ensure safe storage, handling and movement of materials, particularly heavy, magnetic, fragile and high-value materials.
- Ensure proper use and maintenance of cranes, forklifts, lifting accessories and other material-handling equipment.
- Ensure compliance with applicable statutory, regulatory, customs, environmental, safety, quality and company requirements.
- Identify potential operational risks within Stores & Dispatches and implement preventive measures.
8. Continuous Improvement & Operational Excellence
- Be a self-driven change agent who continuously identifies opportunities to improve Stores, Inventory and Logistics processes.
- Lead Lean, Kaizen, 5S/6S and continuous improvement initiatives within the function.
- Identify and eliminate unnecessary movement, waiting time,
duplication, manual work, inventory waste and material losses.
- Establish standard processes and continuously improve them based on data, root-cause analysis and operational feedback.
- Benchmark Stores and Warehouse practices against modern manufacturing and supply-chain standards and introduce relevant best practices.
- Develop and implement improvement projects with measurable benefits in cost, productivity, inventory accuracy, space utilization and service levels.
9. Team Leadership & People Development
- Lead, motivate and develop the Stores and Logistics team through clear responsibilities, performance objectives, coaching, training and regular feedback.
- Build a team culture based on ownership, accountability, discipline, teamwork and continuous improvement.
- Develop employees through cross-training, multi-skilling and competency development.
- Identify high-potential employees and develop second-line leadership and succession capability.
- Encourage team members to identify problems and propose improvement ideas rather than relying only on management direction.
- Create a culture where employees take ownership of inventory accuracy, material handling, safety and customer service.
Required Skills & Experience / Competencies
· Bachelor’s degree in engineering with 12 –15+ years of relevant experience in Stores, Modern Inventory management, dispatch management, preferably in manufacturing, heavy engineering, fabrication or project-based industries.
· Experience in inventory optimization, ABC analysis, cycle counting, stock ageing, FIFO/FEFO and inventory reconciliation.
· Strong understanding of ERP/MRP systems, preferably with experience in improving ERP-based inventory processes.
· Experience in implementing warehouse improvements, digitalization, barcode/QR systems or other technology-enabled inventory solutions will be an advantage.
· Proven leadership and people-management skills, including team building, delegation, coaching, mentoring, performance management and succession development.
· Demonstrated ability to identify problems proactively and implement practical continuous improvement solutions.
· Self-motivated, self-driven and proactive, with the ability to work independently and take ownership of results.
· Strong analytical, problem-solving, decision-making, and communication skills, with a focus on cost and process improvement.
· Additional Qualifications in Supply Chain Management, Logistics, Operations or a related discipline will be an added advantage;
· Experience in an ISO-certified, export-oriented or multinational manufacturing setting will be an advantage.
Employment is on a full-time basis from 9:00 AM to 6:00 PM, Monday through Friday in office
