Responsibilities

- Manage the complete procurement and purchasing process, from receiving purchase requirements to delivery.
- Identify, evaluate, and develop reliable vendors and suppliers based on quality, price, service, and delivery capabilities.
- Obtain and compare quotations and prepare comparative statements for management approval.
- Negotiate with suppliers regarding pricing, payment terms, delivery schedules, warranties, and service conditions.
- Coordinate with respective departments to understand their material and service requirements.
- Ensure timely delivery of purchased materials and follow up with vendors on pending orders.
- Monitor purchase costs, budgets, and expenditure to ensure cost-effective procurement.
- Maintain proper documentation and records of quotations, purchase orders, invoices, vendor details, and related procurement documents.
- Conduct periodic vendor evaluation and performance reviews.
- Identify opportunities for cost reduction, bulk purchasing, and process improvement.
- Ensure procurement activities comply with organisational policies, approval procedures, and applicable statutory requirements.
- Handle vendor-related issues, including delays, quality concerns, shortages,



replacements, and disputes.
- Prepare regular reports on purchases, pending orders, vendor performance, and procurement expenditure.
- Maintain confidentiality and ensure transparency and ethical practices throughout the procurement process.
- Support management in developing and implementing annual procurement plans and budgets.

Qualifications

- Master's/ Bachelor’s degree in Commerce, Business Administration
- Professional certification in Procurement / Supply Chain Management will be an added advantage.
- 5–8 years of experience in purchase, preferably with at least 2–3 years in a managerial role
- Experience in an educational institution, corporate organization, hospitality, facility management will be an advantage.
