Job Summary

We are seeking an experienced Senior Purchase Executive to manage procurement activities for pharmaceutical raw materials, packaging materials, consumables, engineering items, and other operational requirements.

The candidate will be responsible for vendor development, sourcing, price negotiation, purchase order management, timely material availability, and procurement documentation, while ensuring compliance with applicable GMP, GDP, quality systems, and company SOPs.

Key Responsibilities

- Manage end-to-end procurement activities for API, excipients, solvents, packaging materials, consumables, and other pharmaceutical-related materials as applicable.
- Review purchase requisitions and coordinate with Production, Stores, Quality Control, Quality Assurance, R&D;, Engineering, and Finance for procurement requirements.
- Source materials from approved/qualified vendors and identify potential recent suppliers in coordination with QA and relevant departments.
- Obtain and evaluate quotations based on price, quality, specifications, lead time, payment terms, and vendor performance.
- Negotiate pricing, credit terms, delivery schedules, minimum order quantities, and other commercial conditions.
- Prepare and release Purchase Orders (POs) after obtaining the required approvals.
- Follow up with suppliers to ensure timely delivery and prevent production or operational interruptions.
- Maintain and monitor open PO, pending order, and delivery status reports.
- Coordinate with QA regarding vendor qualification, quality agreements, specifications, COA requirements, and supplier documentation, where applicable.
- Ensure procurement is carried out in accordance with company SOPs, GMP/GDP requirements, and quality-system procedures.
- Coordinate with Stores and QA for material receipt, inspection, and resolution of supply-related discrepancies.




- Handle supplier issues related to quality, quantity, delivery delays, damaged materials, documentation, and commercial discrepancies.
- Develop alternate sources for critical materials to minimize supply-chain risks.
- Conduct market analysis and monitor changes in material prices, availability, lead times, and supplier conditions.
- Identify opportunities for cost reduction, supplier consolidation, and strategic sourcing without compromising quality.
- Maintain proper records of quotations, comparative statements, purchase orders, vendor documents, approvals, and procurement correspondence.
- Support vendor performance evaluation and periodic supplier review.
- Coordinate with Finance and Accounts regarding invoice discrepancies, payment terms, and supplier outstanding issues.
- Ensure procurement documentation is readily available for internal, customer, and regulatory audits.
- Prepare procurement MIS and reports related to purchase value, savings, pending orders, supplier performance, and material availability.

Required Qualifications
- Bachelor's degree in B.Com, BBA, Supply Chain Management, Pharmacy, Engineering, or a related field.
- 3–5 years of relevant experience in pharmaceutical purchase/procurement.
- Experience in procurement of API, excipients, packaging materials, consumables, or pharma-related materials will be preferred.
- Good knowledge of GMP, GDP, vendor qualification, procurement SOPs, and pharmaceutical documentation.
- Strong negotiation, vendor-management, analytical, and communication skills.
- Proficiency in MS Excel and ERP systems such as SAP, Oracle, Tally, or other procurement/ERP platforms.
