Job Summary:

The Front Desk Executive is responsible for coordinating arbitration and mediation proceedings, managing client communications, ensuring seamless facility operations, vendor management, administrative support, and maintaining the overall functionality of SNS ADR Centre and associated office premises. The role requires strong organizational, coordination, and stakeholder management skills to ensure efficient execution of arbitration matters and administrative activities.

Key Responsibilities

A. Arbitration Operations Management

- Manage and coordinate all facilities and logistical arrangements related to arbitration and mediation proceedings.
- Serve as the primary point of contact for clients regarding arbitration inquiries, bookings, and procedural coordination.




- Respond to client calls and emails promptly and provide necessary guidance to facilitate successful scheduling and execution of arbitration matters.
- Prepare and issue quotations, proforma invoices, and payment-related documents within stipulated timelines.
- Coordinate with clients to ensure timely receipt and confirmation of payments.
- Upon payment confirmation, circulate necessary communications to clients and internal departments, including Accounts and IT, to ensure smooth conduct of proceedings.
- Arrange and coordinate support services required by Arbitrators, including transportation, meals, meeting facilities, and other special requirements.
- Ensure all arbitration and mediation sessions are conducted without operational disruptions.
- Coordinate with the Accounts Department for post-arbitration invoicing and billing processes.
- Follow up with clients regarding outstanding payments and ensure timely collections.
- Maintain accurate records related to arbitration bookings, payments, invoices, and client communications.

B. Administration

- Oversee day-to-day administrative operations and facility management of SNS ADR Centre.
- Conduct regular inspections of the premises to identify and address maintenance issues, operational gaps, or safety concerns.




- Source and identify vendors for facility management, maintenance, repairs, and procurement requirements.
- Obtain and evaluate quotations from multiple vendors to ensure competitive pricing and service quality.
- Prepare comparative cost analyses and recommend cost-effective vendor solutions to management.
- Coordinate and supervise execution of approved maintenance, repair, and procurement activities.
- Liaise with vendors and service providers to ensure timely completion of assigned work.
- Coordinate with the Accounts Department for processing vendor payments upon successful completion of services.
- Provide operational and logistical support for events conducted at SNS ADR Centre and ensure their smooth and safe execution.
- Perform administrative field visits as required for vendor sourcing, procurement, inspections, or other management-directed assignments.

Qualifications

- Bachelor's Degree in Business Administration, Management, Commerce, or a related field.
- Prior experience in Front desk, Administration, Operations, Facility Management, Legal Support Services, or Arbitration Coordination preferred.
- Proficiency in MS Office (Word, Excel, Outlook) and professional email communication.
