Our fleet and warehouse operations are integral to our supply chain, managing hundreds of vehicles, drivers, and logistics coordinators. ROLE OVERVIEW The Fleet Coordinator Intern will support day-to-day fleet operations, vehicle logistics, driver management, and documentation. This is a hands-on internship designed to provide practical exposure to logistics, vehicle operations, compliance, and coordination in a multi-location supply chain environment. You will work closely with the Fleet Manager and Operations team to optimize vehicle utilization, manage schedules, and ensure smooth operations.

KEY RESPONSIBILITIESFleet Operations Support

· Track vehicle movements, routes, and utilization across Panangad and Netoor locations

· Maintain fleet logs and vehicle status records (on-road, maintenance, idle)

· Assist with daily vehicle dispatch and scheduling

· Monitor fuel consumption and vehicle performance metrics

· Prepare fleet utilization reports for management review

Driver & Personnel Management Support

· Coordinate driver schedules and shift assignments

· Track driver attendance and maintain attendance records

· Assist with driver documentation (licenses, permits, vehicle assignments)

· Support driver communication and instruction dissemination

· Coordinate with drivers on vehicle issues and trip updates

Vehicle Maintenance & Compliance

· Track vehicle maintenance schedules and service appointments

· Maintain records of vehicle repairs, spare parts, and service costs

· Support vehicle inspection and compliance (road tax, insurance, permits)

· Assist in coordinating with mechanics and service centers

· Monitor vehicle fitness and prepare compliance reports

Documentation & Data Management

· Maintain organized digital and physical fleet records

· Update vehicle registers,



driver details, and fleet databases

· Prepare trip reports, route summaries, and delivery confirmations

· Assist with data entry and spreadsheet management

· Support audit and compliance documentation

Coordination & Communication

· Liaise between drivers, warehouse staff, and management

· Respond to operational queries and vehicle-related issues

· Coordinate with external vendors (fuel stations, mechanics, insurance providers)

· Assist with customer/client communication on delivery status

REQUIRED QUALIFICATIONSEducation

· Currently pursuing or recently completed Bachelor's degree (any stream) or Diploma in Logistics/Supply Chain Management

Skills & Competencies

· Proficiency in MS Excel and Google Sheets for data management

· Basic knowledge of vehicle operations and logistics (or willingness to learn)

· Solid organizational and time-management skills

· Excellent written and verbal communication in English and regional languages (Malayalam preferred)

· Attention to detail and accuracy in documentation

· Ability to work in a fast-paced, operational environment

· Basic computer literacy (email, Google Workspace, spreadsheets)

DESIRABLE QUALIFICATIONS

· Prior internship or work experience in logistics, supply chain, or operations

· Familiarity with fleet management systems or vehicle tracking software

· Basic knowledge of vehicle compliance and road safety regulations

· Experience with Google Maps, vehicle route planning, or GPS systems

· Exposure to agribusiness or FMCG supply chains

· Valid driving license (not required but helpful)

INTERNSHIP TERMS & CONDITIONSDuration & Schedule

· Duration: 3 months (full time internship)

· Work days: Monday to Saturday (6 days per week)

· Working hours: 9:30 AM – 6:30 PM (with flexibility for operational needs)

Compensation & Benefits

· Monthly stipend: ₹5,000 (disbursed monthly via bank transfer)

· No health insurance, PF, or statutory benefits during internship

· Reimbursement: Local transportation costs may be reimbursed (subject to approval)

Expectations & Conduct

· Interns are bound by Aeden's Code of Conduct, confidentiality policy, and operational guidelines

· Attendance and punctuality are mandatory

· Interns must follow all safety protocols and vehicle handling guidelines

· Work assigned must be completed with accuracy and ownership

· Any breach of conduct or guidelines may result in internship termination

Post-Internship

· Performance evaluation will be conducted at the end of the internship

· Solid performers may be considered for full-time or extended roles

· Certificate of completion and reference letter will be provided

· No contractual obligation for either party beyond the 3-month period

WORKING CONDITIONS & LOCATION

· Office location: Primarily Aeden HQ, Panangad, with regular visits to Netoor warehouse

· Occasional field visits to vehicle depots, service centers, and warehouse sites

· Operational setting: Warehouse, vehicle parking areas, and office settings

· Physical demands: Comfortable with standing, moving around operational areas, and handling documentation

· Safety: Must follow all safety protocols and vehicle handling guidelines
