Export Documentation Executive in an Export House An Export Documentation Executive is responsible for preparing, checking, and maintaining all the documents required to export goods from India to international buyers. Their main objective is to ensure that shipments are accurate, compliant, and dispatched on time.
Main responsibilities:
- Prepare export documents – Commercial Invoice, Packing List, Shipping Bill, etc.
- Shipment documentation – Prepare and coordinate documents required for shipment through sea/air/courier.
- Invoice & packing list – Ensure quantity, price, product details, HS code, buyer details, etc. are accurate.
- Customs documentation – Coordinate with customs/CHA (Customs House Agent) for clearance.
- Bank documentation – Submit required export documents to the bank and coordinate with the finance team.
- Certificate of Origin – Arrange certificates and other documents required by the buyer/importing country.
- LC documentation – Check documents against Letter of Credit (LC)
terms when applicable.
- Coordination – Coordinate with Merchandising, Logistics, Production, Finance, CHA, freight forwarders and buyers.
- Buyer communication – Send shipment documents and tracking details to international buyers.
- Maintain records – Keep proper records of export shipments, invoices, documents and acknowledgements.
- Document checking – Identify errors or discrepancies before submission.
- Shipment deadlines – Ensure documentation is completed before the shipment cutoff/deadline.
- Experience: 3-4 year experience
