Export Documentation Manager in an Export House

Export Documentation Manager is responsible for managing the complete export documentation process and ensuring that all shipment documents are accurate, compliant, and completed on time.

The manager generally supervises the Export Documentation Executives/Team and coordinates with buyers, banks, customs, freight forwarders, CHA, logistics, merchandising, production, and finance.

Main responsibilities:

- Documentation management – Supervise preparation of invoices, packing lists, shipping bills, certificates, etc.
- Shipment coordination – Ensure documentation is ready according to the shipment schedule.
- Customs clearance – Coordinate with CHA/customs agents for smooth clearance.
- Document verification – Check all documents for quantity, value, HS code, buyer details and other discrepancies.
- Bank coordination – Manage submission of export documents and coordinate with banks for export-related documentation.
- LC compliance – Review documents against Letter of Credit (LC) terms where applicable.




- Buyer requirements – Ensure documents meet the requirements of international buyers and destination countries.
- Team management – Supervise, train and allocate work to documentation executives.
- Communication – Coordinate with buyers, freight forwarders, shipping lines/airlines, CHA and internal departments.
- Reports & records – Maintain shipment records, document status, export registers and MIS reports.
- Discrepancy resolution – Identify and resolve documentation errors before shipment or bank submission.
- Deadline management – Ensure all documents are completed within customs, shipping and buyer deadlines.
- Compliance – Ensure export documentation follows applicable Indian regulations and company procedures.
