Department - Procurement / Quality Coordination

Reporting To - Business Operations Head / Management

Experience - 1-4 years, preferably pharmaceutical procurement, vendor development, pharma QA documentation, contract manufacturing or export procurement.

Job Purpose To identify, evaluate, develop and maintain a reliable network of pharmaceutical manufacturers and suppliers for BBL's domestic and international/private-label requirements, while ensuring commercial, technical and quality documentation is properly captured, maintained and escalated where required. The role will support BBL's transition from a product catalogue to a qualified and controlled supplier network.

Key Responsibilities

1. Supplier Identification & Market Mapping

- Identify Indian pharmaceutical manufacturers capable of supplying BBL's required formulations and dosage forms.
- Develop and maintain a structured supplier database.
- Map suppliers by:
- product
- therapeutic category
- dosage form
- manufacturing capability
- MOQ
- capacity
- lead time
- pricing
- private-label capability
- export experience
- regulatory documentation availability

2. Supplier Outreach

- Contact manufacturers and contract manufacturers.
- Share BBL's product requirements.
- Obtain quotations and technical/commercial information.
- Follow up the pending information.
- Develop alternate suppliers for priority products.

3. Supplier Qualification

- Coordinate collection and maintenance of applicable:
- Manufacturing license
- GMP / WHO-GMP certificates
- Product list
- Product specifications
- COA formats
- Stability information
- Shelf-life information
- Regulatory certificates/documents
- Export history
- Manufacturing-site information
- Private-label capabilities
- Packaging options
- MOQ and lead time

4. Commercial Procurement

- Obtain and compare supplier quotations.
- Prepare supplier comparison sheets.
- Support negotiation of:
- price
- MOQ
- payment terms
- lead time
- packaging
- artwork
- documentation
- samples
- production requirements.

Quality Coordination The employee will not independently approve of pharmaceutical quality but will ensure required supplier documentation is collected and routed to the appropriate function.

Examples

- Expired GMP certificate follow-up
- Missing COA/specification follow-up
- Manufacturer changes product composition immediate escalation
- New manufacturing site escalation for assessment
- Supplier unable to provide required regulatory document flag before commercial commitment.

6. Supplier Performance

- Maintain supplier scorecards covering:
- Quality
- Price
- Documentation
- Responsiveness
- Delivery
- Lead time
- Complaint history
- Regulatory support
- Commercial reliability.

7. QMS Compliance

- Follow BBL's approved procedures relating to:
- Supplier qualification
- Approved Supplier List
- Supplier documentation
- Purchase orders
- Change notification
- Supplier complaints
- Record retention
- Document control
- Supplier re-evaluation

KPIs / KRAs

First 90 days

- Build structured database of 100+ relevant manufacturers/suppliers.
- Identify minimum 3040 reliable potential suppliers.
- Complete qualification/documentation assessment of priority suppliers.
- Establish supplier comparison format.
- Establish Approved Supplier List framework.
- Obtain competitive quotations for priority BBL products.

Candidate Profile

Mandatory

- 1-4 years pharma industry experience.
- Strong Excel/data-management ability.
- Vendor communication experience.
- Understanding basic pharmaceutical documentation.
- Good follow-up discipline.
- Strong written communication

Preferred

- Pharma procurement
- Contract manufacturing
- Private-label pharma
- QA/QMS documentation
- Export pharmaceutical supply
- GMP documentation experience.

Not suitable Someone who has only done general industrial purchasing without understanding pharmaceutical manufacturers/documentation.
