About PharmintPharmint is a Singapore-headquartered pharmaceutical distribution and market-access company connecting pharmaceutical manufacturers with buyers across emerging markets. We support the complete business cycle, including product sourcing, regulatory coordination, commercial negotiations, documentation, logistics, and shipment execution.

Role OverviewThe Commercial Fulfilment Manager will be responsible for managing business opportunities from the qualified-lead stage through order confirmation, sourcing, documentation, shipment, and delivery.

This is an end-to-end commercial role requiring regular coordination with buyers, pharmaceutical manufacturers, internal teams, regulatory partners, and logistics providers. The person must be commercially driven, highly organized, persistent with follow-ups, and capable of moving multiple transactions toward closure simultaneously.

The primary objective is to convert qualified enquiries into successfully executed and shipped orders.

Key Responsibilities1. Lead Conversion and Deal Closure

- Take ownership of qualified leads received from the lead-generation or business-development team.
- Understand the buyer’s product requirements, target prices, quantities, timelines, registration status, and required documentation.
- Maintain regular and professional follow-up with buyers.
- Prepare and coordinate quotations, commercial proposals, product lists, and supporting documents.
- Address buyer questions and objections in coordination with the relevant internal teams.
- Negotiate commercial terms within the authority and pricing guidelines approved by management.
- Convert qualified opportunities into confirmed purchase orders and signed sales contracts.
- Ensure that commercial commitments are properly documented before execution.

Buyer Relationship

Management
- Act as the primary point of contact for assigned buyers throughout the commercial cycle.
- Build long-term relationships based on responsiveness, transparency, and reliable execution.
- Provide buyers with timely updates regarding sourcing, documentation, regulatory requirements, production, payment, and shipment.
- Identify opportunities for repeat orders, additional products, and expansion into current therapeutic categories.
- Maintain complete records of buyer discussions, requirements, quotations, commitments, and next steps.
- Escalate commercial, regulatory, payment, or delivery risks to management promptly.

3.

Supplier

Sourcing and Coordination
- Share confirmed product requirements with approved manufacturers and suppliers.
- Obtain competitive prices, minimum order quantities, production timelines, product specifications, and required regulatory documents.
- Compare supplier offers based on price, quality, compliance, documentation, production capacity, and delivery time.




- Negotiate with suppliers under management guidance to secure commercially viable terms.
- Coordinate the availability of dossiers, COPPs, GMP certificates, product permissions, stability data, artwork, and other relevant documents.
- Ensure that suppliers clearly understand the buyer’s specifications and market requirements.
- Follow up continuously with suppliers until production and dispatch are completed.
- Develop and maintain dependable working relationships with approved suppliers.

4. Order and Commercial Documentation
- Coordinate the preparation and execution of quotations, pro forma invoices, sales contracts, purchase orders, NCNDAs, and other commercial documents.
- Verify that product names, strengths, dosage forms, pack sizes, quantities, prices, payment terms, and delivery terms are accurate.
- Coordinate artwork, packaging, labeling, and country-specific requirements with buyers and suppliers.
- Work with finance to monitor advance payments, supplier payments, outstanding balances, and payment milestones.
- Ensure that production begins only after the required commercial and payment approvals have been received.
- Maintain an organized transaction file for every order.

5. Production and Order Monitoring
- Track each confirmed order from purchase order through production, quality release, dispatch, and delivery.
- Obtain regular production updates from suppliers and manufacturers.
- Monitor agreed production and shipment timelines.
- Identify potential delays early and coordinate corrective action.
- Keep buyers and management informed of material changes in timelines, documentation, or product availability.
- Ensure that no shipment proceeds without the required internal approvals and documentation.

6. Logistics and Shipment Coordination
- Coordinate with logistics providers, freight forwarders, customs agents, suppliers, and buyers to arrange shipment.
- Obtain and compare freight quotations based on price, route, transit time, handling requirements, and reliability.
- Confirm appropriate shipping terms and modes, including air, sea, or road freight.
- Coordinate shipping documents such as commercial invoices, packing lists, certificates of origin, airway bills, bills of lading, and insurance documents.
- Ensure compliance with pharmaceutical transportation and storage requirements, including temperature-controlled handling where applicable.
- Track shipments and provide regular status updates to buyers and management.
- Coordinate the resolution of customs, documentation, transit, or delivery issues.
- Obtain confirmation of delivery and complete the transaction records.





Internal CoordinationThe Commercial Fulfilment Manager will work closely with:

- Number and value of qualified leads converted into confirmed orders
- Total value of orders successfully shipped
- Lead-to-order conversion rate
- Average time taken from enquiry to order confirmation
- Gross margin achieved on completed transactions
- Buyer follow-up quality and response time
- Supplier quotation and sourcing turnaround time
- On-time production and shipment rate
- Accuracy and completeness of commercial documentation
- Collection of buyer payments according to agreed terms
- Repeat orders and expansion of existing buyer accounts
- Timely updating of the company’s CRM and transaction trackers
- Number of unresolved buyer, supplier, or logistics issues

Required Qualifications
- Bachelor’s degree in business, pharmacy, supply chain, international trade, life sciences, or a related discipline.
- Relevant experience in commercial operations, pharmaceutical exports, international sales, procurement, supply chain, or order fulfilment.
- Experience coordinating with international buyers, pharmaceutical manufacturers, and logistics providers is preferred.
- Understanding of export documentation, international payments, Incoterms, freight coordination, and order execution.
- Familiarity with pharmaceutical products and regulatory documentation will be an advantage.
- Working knowledge of CRM systems, spreadsheets, email communication, and commercial tracking tools.

They should be comfortable speaking with buyers, negotiating with suppliers, coordinating with internal teams, and following an order until it is successfully shipped. This role is suitable for someone who does not stop at generating interest or obtaining a purchase order. The individual must take complete ownership of the transaction and ensure that every commercial opportunity moves efficiently from enquiry to revenue and delivery.
