: Assistant Manager/Manager - Supply Operations (Food Platform)

Purpose of the Job The Assistant Manager - Supply Operations (Food Platform) coordinates day-to-day Food Platform Administration activities and ensures accurate, timely and compliant execution of defined system transactions supporting the Australian Food Platform.
The role executes and coordinates master data administration, purchase order generation, system administration, documentation and reporting within Microsoft Dynamics AX and future Enterprise Resource Planning (ERP) systems. It ensures activities are completed in accordance with approved Standard Operating Procedures (SOPs), work instructions and agreed Service Level Agreements (SLAs).
The position supports operational coordination between GBS Administration and the Australian Food Platform. It does not make operational, culinary, commercial or client decisions. Any activity outside documented procedures must be escalated to the Manager and the Australian Food Platform for direction.
Context and Main Issues -
- The GBS Food Platform Administration team provides structured transactional support to the Australian Food Platform through approved systems and documented procedures.
- Accuracy of master data, ordering outputs and system transactions is essential to reliable purchasing, inventory planning and Food Platform operations.
- The role operates in a highly controlled workplace where compliance with SOPs, work instructions, SLAs, quality checks and audit requirements is mandatory.
- The jobholder must coordinate assigned transactional activities, maintain service performance and support effective communication between GBS Administration and Australia.
- Operational, culinary, commercial and client decisions remain with the Australian Food Platform; exceptions or unclear instructions must be escalated promptly.
- The role is expected to support standardization, process improvement, system changes and automation while preserving governance, data integrity and documented approval controls.
Key Responsibilities & Assignments -Service Delivery Coordination
- Coordinate assigned Food Platform Administration activities to achieve agreed quality, productivity and SLA targets.
- Monitor daily work queues, priorities and completion status; provide first-level troubleshooting and escalate unresolved issues to the Manager.
- Work effectively with Australian stakeholders and the Manager to resolve operational issues and implement approved changes.
Purchase Order Generation
- Oversee preparation of purchase requisition requests, future costing orders, recalculation orders and defrost orders in line with approved SOPs.
- Ensure purchase order files are exported, renamed and retained in accordance with naming conventions and audit requirements.
- Ensure order templates are created only when instructed, outputs are validated before release, and system errors are escalated immediately.
Master Data Administration
- Ensure accurate creation and maintenance of approved ING and REC master data, including mandatory fields, nutritional information, preparation yields, cooking yields and REC attributes.
- Oversee approved ING-to-IT linking, item relationship validation and unit conversion creation and maintenance.
- Maintain version control and system accuracy. No master data change may be made without documented approval from the Australian Food Platform.
Data Quality Assurance
- Apply documented quality checks, validate mandatory fields and complete required validation checklists.
- Identify and correct data-entry errors, maintain data integrity and audit history, and escalate missing, conflicting or inconsistent information.
System Administration Support
- Oversee routine administration of Food Platform systems, including active trade agreement records, approved system updates and scheduled tasks.
- Maintain system documentation, follow release procedures and escalate technical issues through the approved support channels.
Documentation Management
- Maintain controlled templates, electronic filing structures and document version control.
- Archive superseded documents and ensure records comply with approved document-control procedures.
Reporting
- Prepare and distribute approved operational reports to nominated stakeholders within agreed timelines.
- Validate report completeness and accuracy, and escalate anomalies identified during reporting.
Process Compliance & Risk Control
- Ensure all activities follow approved SOPs, work instructions, quality-management requirements and service levels.
- Record exceptions, maintain evidence of completed controls and escalate activities that fall outside documented procedures.
Continuous Improvement
- Identify repetitive administrative issues and recommend improvements to documented procedures.
- Participate in process reviews and User Acceptance Testing, and support implementation of approved process, system and automation improvements.

Experience & Qualifications -Qualifications
- Graduate in any discipline. A postgraduate qualification in Supply Chain, Procurement, Operations or Business Administration is advantageous.
Experience - Essential
- Demonstrated experience in transactional administration, supply operations, procurement operations or master data activities.
- Experience working within structured administrative processes and managing delivery against defined procedures, quality measures and service levels.
- Experience maintaining electronic master data and working within enterprise business systems.
- Experience using Microsoft Excel for data validation, analysis and operational reporting.
- Experience coordinating stakeholders, escalations, work priorities and service delivery.
Experience - Desirable
- Experience using Microsoft Dynamics AX or another ERP platform.
- Experience supporting purchasing, inventory, food platform, hospitality or supply operations processes.
- Experience working within Shared Services, Global Business Services or a multinational environment.
- Exposure to process improvement, system testing, transition or change-management initiatives.
Technical / Hard Skills
