Position :- Assistant Manager – CRM & Database

Contract Type :- Full time renewable two-year contract, including six months’ probation.

Working Hours :- 40 hours/week (Mon-Fri)

Location :- Bengaluru / Ahmedabad (preferably Bengaluru)

Sense India is expanding its scope and activities and is setting up a team of highly motivated and qualified professionals to lead its growth.

Job purpose:

The Assistant Manager – CRM and Database will be the backbone of Sense India’s donor data ecosystem. Working closely with the Head – Technology & Applications and Head - Public Engagement, the Assistant Manager will own and manage the Salesforce CRM, ensuring data quality, meaningful segmentation, and seamless support for the fundraising team as we build and scale our donor journey. This is a hands-on, high-impact role that sits at the intersection of technology, data, and mission-driven fundraising.

Key Responsibilities

1. Salesforce CRM Administration

- Own, configure, and maintain the Salesforce CRM platform (Nonprofit Success Pack preferred)
- Manage user accounts, roles, profiles, permission sets, and security settings




- Customise objects, fields, page layouts, workflows, process builder flows, and validation rules
- Troubleshoot system issues, perform regular audits of Data, and manage Salesforce releases and updates
- Integrate third-party tools (payment gateways, email platforms, tally, WhatsApp’s, event tools) with Salesforce

2. Donor Database Management

- Ensure the integrity, accuracy, and completeness of all donor records
- Deduplicate records and establish data entry standards and governance protocols
- Import, export, and migrate data tools
- Build and maintain donor segments for targeted outreach campaigns
- Manage donor processing workflows, acknowledgement triggers, and pledge tracking

3. Donor Journey Support

- Map and configure automated donor journeys in Salesforce (welcome series, retention touchpoints, upgrade asks, lapsed donor reactivation)
- Work with the PE team to design and implement multi-stage engagement workflows
- Set up and manage recurring giving and upgrade pathways within the CRM
- Ensure timely and accurate reporting on donor lifecycle stages and engagement metrics

4. Reporting & Analytics

- Build and maintain dashboards and reports for the fundraising and leadership teams
- Track KPIs including donor acquisition, retention, upgrade rate, average Donations, and lifetime value
- Provide regular data insights to inform fundraising strategy and decision-making
- Produce lists and data extracts for campaigns, mailings, and events

5. Training & Documentation

- Train fundraising and development staff on CRM best practices and system use
- Create and maintain clear documentation of processes, configurations, and data standards
- Act as the internal Salesforce champion and first point of contact for CRM-related queries

Person’s specification

Essential

- Salesforce Administrator certification or equivalent hands-on experience
- Proven experience with Salesforce in a NGO
- Strong understanding of CRM database management, data hygiene,



and data governance
- Experience with Salesforce automation tools: Flow, Process Builder, Workflow Rules
- Proficiency with data tools: Salesforce Data Loader, Excel/Google Sheets for data prep
- Ability to build reports and dashboards in Salesforce
- Strong analytical mindset with excellent attention to detail
- Good communication skills — able to translate technical concepts for non-technical staff

Desirable

- Experience working in the nonprofit, social sector in India
- Familiarity with donor journey design and fundraising CRM best practices
- Knowledge of email marketing integrations (Mailchimp, HubSpot, or similar)
- Salesforce Advanced Administrator
- Experience with payment gateway integrations (Razorpay, CCAvenue, etc.)
- Understanding of donor data privacy regulations in India

Education

- We welcome candidates from diverse educational backgrounds. While a degree in Computer Science or Information Systems is preferred, candidates with qualifications in Data Analytics, Business Administration, Statistics, Mathematics, or related fields, along with relevant skills and experience, are encouraged to apply.
- Relevant certifications will be considered as formal qualifications.
- A minimum of 3-5 years of relevant experience in database management, data analytics, reporting, information systems, or a related field is preferred.
