Assistant Manager – Administration & HR

About the Role
We are looking for an organized, proactive and hands-on Assistant Manager – Administration & HR to manage the day-to-day administrative operations of the organization, while also supporting key HR activities.
The role will primarily focus on office administration, facility management, vendor coordination, employee support and operational requirements, with some involvement in recruitment and HR operations.
The ideal candidate should be someone who can independently manage administrative responsibilities, coordinate effectively with internal teams and external vendors, and ensure smooth day-to-day functioning of the workplace.
Key Responsibilities1. Office Administration & Facility Management – Primary Responsibility
- Manage day-to-day administrative operations of the office.
- Ensure smooth functioning and upkeep of office facilities.
- Coordinate with housekeeping, security, maintenance, IT, transport and other service providers.
- Manage office infrastructure, furniture, equipment, stationery and other administrative requirements.
- Maintain adequate stock of office supplies, pantry items and stationery.
- Handle procurement of routine office/admin requirements and coordinate with vendors.
- Identify and resolve day-to-day facility and maintenance issues.
- Ensure proper cleanliness, hygiene, safety and overall upkeep of the workplace.
- Coordinate office repairs, maintenance and AMC-related activities.
- Maintain records of office assets and administrative inventory.
- Manage vendor relationships, quotations, negotiations, bills and payment coordination.
- Monitor administrative expenses and maintain relevant records.
- Coordinate meetings, events, employee celebrations and other office activities.
- Handle travel,
accommodation and other administrative arrangements whenever required.
- Coordinate with building management/society and external agencies for office-related requirements.
1. Employee Administration & HR Operations
- Manage employee documentation and personnel records.
- Coordinate employee joining and exit formalities.
- Maintain attendance, leave and employee-related records.
- Coordinate with payroll/finance teams for attendance and payroll inputs.
- Address day-to-day employee administrative queries.
- Assist in implementing company HR policies and processes.
- Support employee engagement activities and internal events.
- Ensure smooth communication of important HR/admin announcements to employees.
1. Recruitment Support – Secondary Responsibility
- Support recruitment activities for various positions as required.
- Source candidates through job portals, LinkedIn, referrals and other channels.
- Screen CVs and conduct initial candidate calls.
- Coordinate interviews between candidates and hiring managers.
- Maintain recruitment trackers and candidate databases.
- Coordinate offer, documentation and joining formalities.
- Support the HR team in meeting recruitment requirements and timelines.
1. HR & Admin Documentation
- Maintain accurate HR and administrative records.
- Prepare and maintain trackers, reports and MIS related to administration and employees.
- Ensure proper filing and documentation of vendor agreements, bills, employee records and other relevant documents.
- Assist with statutory/compliance-related documentation wherever required.
Required Skills & Qualifications
- Graduate/MBA/PGDM in HR, Business Administration or a related field.
- 3–5 years of experience in Administration / HR & Admin, preferably in the real estate, construction or infrastructure industry.
- Strong experience in office administration and facility/vendor management.
- Good coordination and communication skills.
- Strong knowledge of MS Office, particularly Excel/Google Sheets.
- Good organizational and multitasking abilities.
- Strong follow-up and problem-solving skills.
- Ability to independently handle administrative responsibilities.
- Should be proactive, dependable and comfortable working in a quick-paced environment.
Preferred Candidate Profile
- Candidates with prior experience in real estate/construction companies will be preferred.
- Strong exposure to office administration, facility management and vendor coordination.
- Recruitment experience is desirable but should not be the primary area of expertise.
- Should be comfortable coordinating with senior management, employees, vendors and external agencies.
- Should have a hands-on approach and the ability to take ownership of day-to-day administrative matters.

Salary: depending on experience and suitability.

Notice Period: Immediate / 15–30 Days preferred
Pay: ₹30,000.00 - ₹45,000.00 per month
