About eMediWrite

eMediWrite is a specialised medical communications and healthcare content company serving pharmaceutical, healthcare, medical device and allied organisations.

We work on multiple scientific, medical, educational and communication projects simultaneously and are looking for an Operations Manager who can bring structure, accountability, speed and predictability to our execution process.

The Role

This is a high-ownership operations role.

The Operations Manager will be responsible for ensuring that projects move smoothly from brief → planning → allocation → execution → review → client delivery.

You will coordinate people, timelines, priorities, quality and client requirements while ensuring that the organisation delivers work on time, at the expected quality and within planned effort/cost.

This is not a purely administrative position.

We are looking for someone who can run operations, solve problems, enforce processes and hold people accountable.

Key Responsibilities

1. Project & Workflow Management

- Own day-to-day execution of multiple projects.
- Convert client requirements into actionable internal workflows.
- Plan timelines, milestones and deliverables.
- Allocate work to writers, designers, reviewers and other team members.
- Track every project from initiation to completion.
- Identify bottlenecks before they become delivery problems.
- Ensure projects are delivered within committed timelines.

2. Team Management

- Coordinate daily activities of the operations/execution team.
- Allocate work based on workload, capability and deadlines.
- Monitor individual productivity.
- Follow up on pending work.
- Ensure team members meet agreed timelines.
- Identify performance issues and escalate persistent problems.
- Maintain discipline around attendance, communication and task completion.
- Build a culture of ownership and accountability.

3. Quality & Process Control

- Ensure deliverables meet eMediWrite's quality standards.
- Establish and enforce SOPs and checklists.
- Monitor errors, rework and client corrections.
- Identify recurring quality problems and implement corrective actions.
- Ensure appropriate review/approval processes are followed.
- Reduce avoidable rework and operational leakage.

4. Client Delivery

- Ensure timely delivery of client projects.
- Coordinate internally to resolve urgent client requirements.
- Track client feedback and ensure timely action.
- Escalate delivery risks to management early.
- Ensure commitments made to clients are realistically planned and executed.

5. Productivity & Capacity Management

- Track team workload and capacity.
- Identify under-utilisation and overloading.
- Improve resource allocation.
- Monitor turnaround time for different types of projects.
- Identify opportunities to automate or streamline repetitive processes.
- Improve overall operational efficiency.

6. Management Reporting

Prepare regular operational reports covering:

- Projects in progress
- Projects completed
- Pending deliverables
- Delayed projects




- Team workload
- Individual productivity
- Quality/rework
- Client revisions
- Resource utilisation
- Operational bottlenecks
- Upcoming deadlines
- Escalations requiring management attention

The Operations Manager will be evaluated primarily on measurable outcomes:

Delivery

- On-time delivery %
- Projects completed within committed timelines
- Number of delayed projects
- Average turnaround time

Quality

- Error rate
- Client revision rate
- Rework %
- Quality-related escalations

Productivity

- Team utilisation
- Individual productivity
- Work completed per person
- Capacity utilisation

Process

- SOP adherence
- Task tracking discipline
- Timely escalation of risks
- Reduction in operational bottlenecks

Business Impact

- Reduction in avoidable costs
- Improved project profitability
- Better utilisation of existing resources
- Improved client satisfaction and repeat business

Success in this role is measured by how reliably the organisation delivers—not simply by how busy the team appears.

Candidate Profile

Must Have

- 3–7 years of experience in operations/project management.
- Experience managing people and multiple projects simultaneously.
- Strong organisational and follow-up skills.
- Excellent written and verbal communication.
- Strong problem-solving ability.
- Comfortable working with deadlines and competing priorities.
- Ability to monitor team performance and enforce accountability.
- Strong Excel/Google Sheets/MS Office skills.
- Experience with project management tools or CRM/workflow systems is preferred.

Compensation Structure

Fixed Salary + Performance Incentive

Additional monthly/quarterly performance incentives based on:

Earning Potential

₹20,000 fixed + performance incentives

Expected earning for a strong performer can reach ₹25,000–₹30,000+ per month

Exceptional performance may be rewarded beyond the standard incentive range.

The objective is to ensure that higher operational performance results in higher compensation.
