The PMO Business Partner acts as a centralized governance and resource coordination function, ensuring operational efficiency, compliance, and accurate forecasting.
Responsibilities
- Governance Audits: Review project documentation for compliance with PMO frameworks and track corrective actions.
- Data Integrity: Ensure project owners are maintaining OpenAir data accuracy (go-live dates, RAG status, resource bookings).
- RAG Reviews: Track actions and support the Customer solutions manager. Ensure action ownership and closure.
- New Project Intake: Review new orders, support the Customer solutions manager to allocate project owners, and support onboarding through weekly calls with PM managers.
- Forecasting Support: Provide accurate data and reports for business forecasting and work with the project owner to ensure projects are booked correctly or forecast.
- Partner Coordination: Monitor partner bookings, ensure backlog progress, and maintain weekly alignment calls.
- CSAT & Escalation Monitoring: Provide administrative support for CSAT tracking and escalation processes (not responsible for managing escalations).
- Backlog Management: Track backlog status, ensure bookings, and close actions in collaboration with PM managers.
- Data Insights & Reporting: Deliver weekly and monthly reports on utilisation, backlog, and governance compliance.
What You Will Do
- Governance & Compliance: Conduct monthly audits, RAG reviews, and ensure PMO process adherence.
- Forecast Accuracy:
Deliver actionable utilisation and backlog data for forecast calls and budget alignment.
- Partner Delivery Enablement: Coordinate partner bookings and readiness across departments.
- Project Allocation Efficiency: Act as first point of contact for new projects; resolve resource conflicts proactively.
- Administrative Support: Reduce PM and consultant burden by managing bookings, tracking actions, and maintaining toolkits if appropriate.
- CSAT Monitoring: Analyse feedback trends and escalate issues to relevant teams.
- Internal Alignment: Run weekly readiness sessions and maintain PM frameworks and toolkits.
