Purchase Manager – Job Description

Position: Asst Purchase Manager
Industry: Hospitality / Hotels / Restaurants

Key Responsibilities:

- Manage end-to-end purchasing for food, beverages, housekeeping, maintenance, and other hotel requirements.
- Source and negotiate with vendors for the best quality, price, and payment terms.
- Identify and develop reliable suppliers and maintain good vendor relationships.
- Compare quotations and ensure purchases are made as per company approval procedures.
- Monitor stock levels and coordinate with Stores, Kitchen, F&B;, HK, and Maintenance teams.
- Ensure timely procurement to avoid shortages and operational disruptions.
- Check purchase orders, quotations, invoices, GRNs, and related documents.
- Monitor market prices and identify cost-saving opportunities.
- Ensure quality, quantity, and specifications of materials received.




- Maintain proper purchase records and reports using Excel / ERP / Tally / Zoho.
- Follow company purchase policies, budgets, and approval procedures.
- Coordinate with Accounts and Stores for payment and inventory-related matters.

Requirements:

- 3–5 years of purchase/procurement experience in the hospitality industry.
- Experience in hotel, resort, restaurant, or banquet operations preferred.
- Good knowledge of F&B;, housekeeping, maintenance, and general procurement.
- Strong negotiation and vendor-management skills.
- Good knowledge of MS Excel and purchasing/ERP software.
- Positive communication, coordination, and analytical skills.
