About the Role

We are looking for a dependable and detail-oriented Office Administrative Executive to join our team. In this role, you will be the backbone of our office operations — keeping things running smoothly, coordinating across teams, managing support staff, overseeing company-owned licensed properties, and ensuring a well-organized, professional work environment.

Key Responsibilities

Office Operations & Administration

- Manage day-to-day office administrative operations to ensure efficiency and continuity
- Maintain and organize office records, files, and documentation in both physical and digital formats
- Monitor office supplies inventory and place timely orders to avoid disruptions
- Handle Annual Maintenance Contracts (AMC), purchase activities, and related administrative tasks
- Leverage AI tools to streamline administrative tasks, improve efficiency, and support day-to-day operations

Coordination & Logistics

- Coordinate travel arrangements including car bookings, flight reservations, and hotel accommodations
- Assist in vendor management and coordinate with external service providers
- Attend meetings, take minutes, and follow up on action items to ensure timely execution
- Manage schedules and calendars for senior stakeholders, ensuring effective time management and prioritization
- Plan and coordinate corporate events, team activities, and official meetings as well as personal events and private functions
- Manage medical appointments, health check-up schedules, and membership renewals for relevant personnel
- Oversee corporate gifting — sourcing, budgeting, customization, and timely dispatch for clients, partners, and employees

Support Staff Supervision

- Supervise and manage junior support staff including housekeeping personnel and office drivers
- Assign daily tasks, monitor attendance, and ensure support staff adhere to schedules and standards
- Evaluate performance of support staff and escalate concerns to HR or management as needed
- Ensure drivers follow safe driving practices,



vehicle maintenance schedules, and trip logs
- Maintain company vehicle fleet including insurance renewals, regulatory compliance, and cleanliness standards
- Maintain cleanliness and hygiene standards by overseeing housekeeping operations

Licensed Property Management

- Manage licensees across company-owned properties, ensuring occupancy is well-documented and regularly reviewed
- Ensure all license agreements are current, valid, and renewed on time in coordination with legal or management
- Handle licensee grievances promptly and professionally, escalating unresolved issues to management as required
- Oversee and coordinate renovation and upkeep activities across licensed properties, liaising with contractors and vendors
- Conduct periodic inspections of licensed premises to ensure standards and agreement conditions are being met

What We’re Looking For

- Minimum 4 years of relevant experience in office administration or a similar role
- Prior experience supervising or managing support staff (housekeeping, drivers, or similar)
- Experience managing licensed properties, lease/license agreements, or tenant relations is an advantage
- Strong organizational skills with a sharp eye for detail
- Excellent coordination and communication skills across all levels of staff
- Ability to multitask, prioritize workload, and meet deadlines in a fast-paced environment
- Proficient in MS Office (Word, Excel, Outlook) and comfortable with office management tools
- Comfortable using AI tools (such as ChatGPT, Claude, or similar) to enhance productivity, draft communications, and automate repetitive tasks
- Proactive, resourceful, and able to work independently with minimal supervision

Pay: ₹25,000.00 - ₹30,000.00 per month
