Position Title: Accounts Executive / Senior Accounts Executive
Department: Finance & Accounts

Position Summary
We are seeking a highly organized, detail-oriented, and self-motivated Accounts Executive with 2–3 years of experience to join our finance team. The successful candidate will play a critical role in managing day-to-day accounting functions, ensuring seamless revenue and payment gateway reconciliations, executing end-to-end Accounts Payable (AP) and Accounts Receivable (AR) processes, and maintaining statutory tax compliance.
This role requires strong numerical accuracy, proficiency in modern accounting software, and intermediate-to-advanced Excel skills to handle multi-channel financial workflows efficiently.
Detailed Responsibilities & Operational Duties1. General Ledger & Day-to-Day Accounting
- Journal Entries & Postings: Accurately prepare and record daily accounting transactions, including sales, expenses, cash movements, accrued liabilities, prepaid expenses, and depreciation adjustments.
- Ledger Hygiene: Review and sanitize General Ledger (GL) accounts regularly to ensure correct account classifications and prevent misallocations across cost centers.
- Bank Reconciliation: Perform weekly and month-end bank reconciliations across all operational, payroll, and collection accounts. Identify and resolve uncleared deposits, unpresented cheques, direct debits, and bank service charges.
- Petty Cash Control: Oversee petty cash disbursements, verify supporting physical vouchers and signatures, reconcile petty cash registers weekly, and process timely replenishment requests.
2. Multi-Channel Sales & Revenue Reconciliation
- Sales Verification: Reconcile daily point-of-sale (POS) reports, billing summaries, and internal ERP sales reports against actual bank credit entries.
- Payment Gateway & Merchant Reconciliations: Perform line-item reconciliations for settlements received from payment gateways and merchant processors (e.g., Razorpay, Stripe, Paytm, UPI, EDC Card machines).
- Fee & Commission Auditing: Audit and verify processing fees, MDR charges, platform commissions, chargebacks, and holdbacks deducted by financial intermediaries against contracted rate sheets.
- Dispute Resolution: Track and resolve un-reconciled transactions, timing delays, customer chargeback requests, failed payment claims, and refund adjustments.
3. Accounts Payable (AP) & Vendor Management
- Invoice Processing: Receive, digitize,
and log incoming vendor bills, utility invoices, service contracts, and material supply invoices.
- 3-Way Matching: Perform strict 3-Way Matching by cross-referencing Vendor Invoices against approved Purchase Orders (POs) and Goods Received Notes (GRNs) / Service Completion Certificates.
- Vendor Ledger Maintenance: Reconcile vendor account statements periodically, address billing discrepancies, track debit notes/credit notes for returned goods, and ensure vendor ledgers are audit-ready.
- Payout Management: Prepare payment proposals and schedules based on agreed credit terms (e.g., Net 30, Net 60), executing payments via online banking channels (NEFT / RTGS / IMPS / Wire transfers).
4. Accounts Receivable (AR) & Credit Management
- Invoicing: Issue tax-compliant invoices, proforma invoices, and debit/credit notes to B2B and institutional clients.
- Ageing Analysis & Follow-ups: Maintain and analyze Accounts Receivable ageing reports weekly. Coordinate with clients and internal team leads to secure prompt payments for overdue invoices.
- Receipt Posting: Record customer payments, match incoming receipts against outstanding invoice numbers, and process unallocated customer advances.
5. Statutory Compliance & Tax Operations
- Tax Invoicing & Rates: Ensure accurate tax tagging (GST, Sales Tax, or VAT) on all outgoing invoices and verify tax applicability on incoming vendor bills.
- GST & Direct Tax Compliance:
- Prepare input data, reconciliations (e.g., GSTR-2B vs. Books comparison), and working sheets for monthly GST returns (GSTR-1, GSTR-3B).
- Calculate monthly Tax Deducted at Source (TDS) liabilities on vendor payments under relevant statutory sections.
- Prepare data for timely tax payments to government portals to avoid interest or penalty levies.
- Audit Support: Organize physical and digital document archives (invoices, receipts, tax certificates, bank statements) to assist internal and external auditors during annual financial audits.
6. Financial Reporting & Payroll Support
- Month-End Closing: Assist senior finance personnel in executing month-end closing tasks, including posting accrued revenue, prepaid expenses, and provision entries.
- Trial Balance Finalization: Help analyze variance in the Trial Balance and resolve unadjusted balances prior to closing monthly accounts.
- Payroll & Reimbursements: Audit monthly employee attendance data, verify advance salary deductions, check employee expense reimbursement claims against receipts, and assist in payroll register posting.

Candidate Profile & Technical Requirements1. Educational Background
- Degree: Bachelor's degree in Commerce (B.Com), Accounting, Finance, or an equivalent discipline. (Master's degree or partial qualification like Inter CA / CMA is a plus).
2. Experience & Technical Skills
- Core Experience: Minimum 2 to 3 years of hands-on experience handling general accounting, AP, AR, and bank reconciliations.
- Accounting Software: Advanced working knowledge of accounting software such as Tally Prime, Zoho Books, QuickBooks, or SAP/Oracle Financials.
- MS Excel Proficiency: Intermediate to advanced capabilities in Microsoft Excel, including:
- Pivot Tables & Data Aggregation
- VLOOKUP, XLOOKUP, INDEX/MATCH
- Conditional Formatting & Data Validation
- Text manipulation and data cleanup tools for large datasets
- Regulatory Understanding: Strong understanding of double-entry bookkeeping principles, basic concepts of revenue recognition, GST structures, and TDS deduction rules.
3. Behavioral & Skilled Attributes
- Attention to Detail: Meticulous approach to verifying numbers and resolving balance discrepancies.
- Problem-Solving Skills: Ability to trace transaction errors across banking statements, billing tools, and ledger accounts.
- Communication: Clear oral and written communication for liaising with vendors, corporate customers, and banking partners.
- Time Management: Ability to prioritize time-sensitive tasks during peak periods like month-end closing and tax payment dates.
