Job Summary:

We are looking for a detail-oriented and proactive Testing Services Executive to coordinate customer samples, testing requests, quotations, sales orders, reports, invoicing, and payment follow-ups. The role will act as a key coordination point between customers and internal testing laboratories to ensure timely execution, documentation, reporting, and commercial closure of testing service assignments.

Key Responsibilities:

Sample Management & Coordination:

- Coordinate collection and receipt of customer samples and ensure accurate recording of sample details.
- Enter sample information and customer requirements accurately in the relevant systems and records.
- Prepare and submit Test Requests to the concerned testing laboratories based on customer requirements.




- Track sample movement and testing status to ensure timely execution of assignments.

Quotation & Order Management:

- Prepare quotations for testing services based on customer requirements and applicable service charges.
- Coordinate with internal teams to confirm testing requirements, timelines, and technical feasibility.
- Prepare Lab Sales Orders for confirmed testing service requirements.
- Maintain accurate records of quotations, orders, and customer communications.

Laboratory Coordination & Reporting:

- Coordinate with internal testing laboratories for timely completion of assigned testing activities.
- Follow up with laboratories for test reports and Certificates of Analysis (CoAs).
- Ensure reports are received, reviewed for completeness, and communicated to customers within agreed timelines.
- Escalate delays or discrepancies to the concerned teams for timely resolution.

Invoicing & Commercial Coordination:

- Prepare invoices for testing services based on completed assignments and applicable commercial terms.
- Coordinate with Finance and internal teams to ensure accurate and timely billing.
- Maintain records of customer purchase orders, invoices, and payment status.
- Follow up with customers for outstanding payments and pending purchase orders.

MIS & Documentation:

- Maintain Excel trackers for samples, testing status, quotations, sales orders,



invoices, purchase orders, and outstanding payments.
- Prepare periodic reports on testing assignments, pending reports, billing, collections, and customer requirements.
- Ensure all testing service documentation is accurate, updated, and properly maintained.
- Maintain organized records for easy tracking and future reference.

Qualification :

- Bachelors or masters degree, Chemistry, or a related discipline.
- Additional qualification in Quality Management, Regulatory Affairs, or a related field will be an added advantage.

Experience:

- 1+ years of experience in Testing Services, Laboratory Coordination, Sales Coordination, Customer Service, Order Management, or a related function.
- Freshers with solid communication, coordination, and MS Excel skills may also be considered.
