We are seeking a detail-oriented and proactive Vacation Rental Operations Coordinator to manage the day-to-day operations of multiple short-term rental properties. This role is critical in ensuring seamless guest experiences, accurate reservation management, and maintaining high property standards.

Key ResponsibilitiesReservations & Guest Management
- Maintain accurate reservation data in the property management system
- Verify guest details, including number of guests and contact information
- Send timely check-in instructions via booking platforms
- Communicate with guests before, during, and after their stay
- Manage check-out confirmations and handle late check-out requests
- Offer booking extensions to guests when availability allows

Check-In Coordination
- Ensure all upcoming guests receive accurate and complete check-in instructions
- Verify smart lock (Schlage) codes are correctly set for arrivals
- Monitor readiness for same-day and next-day check-ins

Cleaning & Property Oversight
- Schedule and track cleanings for all units




- Review inspection reports to ensure cleaning quality standards are met
- Maintain cleaning logs and update operational sheets
- Monitor property readiness, including key maintenance items (e.g., hot tubs)
- Coordinate with cleaning teams and ensure timely payments

Payments & Financial Tracking
- Ensure all reservations within the next 30 days are fully paid
- Monitor and follow up on pending payments across booking platforms
- Track payment status and update records in the system
- Assist in reconciling platform payouts and internal financial reports

Daily Operations & Reporting
- Perform end-of-day operational checks and reporting
- Track guest arrival times and maintain reservation notes
- Monitor dashboards for payment issues and operational gaps
- Escalate issues related to reservations, payments, or guest concerns

Guest Reviews & Reputation Management
- Leave guest reviews and respond to feedback
- Encourage guests to leave
