Role Summary The Accounting Executive / Senior Executive Accounting Operations will be responsible for accurate, timely, and compliant accounting of all financial transactions purchases, sales, banking, vendor/customer ledgers, inventory, and fixed assets in line with Accounting Standards, GST provisions, and internal company policies. The role also supports month-end closing, MIS reporting, and internal control/audit requirements.
Key Responsibilities
A. Purchase Accounting
- Book all domestic purchase invoices accurately and on time.
- Book import purchase invoices with correct duty/tax treatment.
- Verify GST details (GSTIN, tax rate, HSN/SAC) before booking any invoice.
- Perform 3-way matching of Purchase Orders, GRNs, and Vendor Invoices.
- Account for capital asset purchases as per capitalization policy.
- Book routine expense invoices under correct GL heads.
- Adjust vendor advances against corresponding invoices.
- Process Debit Notes / Credit Notes for purchase-related adjustments.
- Monitor and follow up on unbooked/pending invoices to avoid backlog.
B. Sales Accounting
- Book domestic sales invoices in the ERP system.
- Book export sales invoices with correct currency and documentation reference.
- Process Credit Notes & Debit Notes for sales adjustments.
- Account for sales returns accurately.
- Ensure revenue recognition as per applicable accounting standards (Ind AS/AS).
- Adjust customer advances against invoices raised.
C. Bank & Cash Management
- Perform daily bank accounting entries.
- Conduct regular bank reconciliation (BRS).
- Maintain cash book with daily updates.
- Manage and account for petty cash transactions.
- Account for bank charges and other bank-related debits.
- Book interest income/expense entries.
- Account for foreign inward remittances against export/other receipts.
D. Vendor Accounting
- Reconcile vendor ledgers on a periodic basis.
- Obtain and process vendor balance confirmations.
- Prepare vendor ageing analysis reports.
- Reconcile outstanding vendor advances.
- Verify TDS deduction and applicability on vendor payments.
E. Customer Accounting
- Reconcile customer ledgers periodically.
- Obtain and process customer balance confirmations.
- Track collections against outstanding invoices.
- Prepare customer outstanding ageing reports.
F. Inventory Accounting
- Maintain accurate stock accounting in books.
- Account for material consumption against production.
- Track and account for Work-in-Progress (WIP).
- Account for finished goods valuation and movement.
- Account for scrap generation and disposal.
- Reconcile physical/ERP inventory with book records.
- Review and report slow-moving/non-moving inventory.
G. Fixed Assets
- Process asset capitalization as per policy and threshold limits.
- Monitor Capital Work-in-Progress (CWIP) and transfer to fixed assets on completion.
- Calculate and post depreciation as per applicable rates/standards.
- Account for asset disposal, sale, or write-off.
- Support physical verification of fixed assets and reconcile with the asset register.
H. Month-End Closing Activities
- Complete bank reconciliation.
- Complete vendor reconciliation.
- Complete customer reconciliation.
- Complete inventory reconciliation.
- Perform GR/IR (Goods Receipt/Invoice Receipt) reconciliation.
- Post expense provisions for the period.
- Pass accrual entries for income/expenses.
- Account for and amortize prepaid expenses.
- Perform forex revaluation of foreign currency balances.
- Post depreciation entries.
- Pass all closing journal entries and finalize books for the month.
I. MIS & Reporting
- Prepare daily sales report.
- Prepare periodic purchase report.
- Prepare expense report (department/cost-center wise).
- Prepare monthly trial balance.
- Conduct general ledger scrutiny to identify and correct misclassifications.
J. Internal Controls & Audit Support
- Support statutory, internal, and tax audit requirements with data and documentation.
- Maintain proper and organized documentation/backup for all transactions.
- Ensure maker-checker compliance in all accounting processes.
- Maintain accuracy and integrity of ERP data entries.
Qualifications & Experience
- Education: B.Com / M.Com; Inter CA / CMA preferred for Senior Executive level.
- Experience:
- Senior Executive: 5–10 years, with exposure to month-end closing, reconciliations, and MIS.
- Industry preference: Manufacturing, EXIM/trading, or similar transaction-heavy environment.
Skills Required
- Solid working knowledge of GST, TDS, and basic Ind AS/AS concepts.
- Hands-on experience with ERP systems (SAP, Oracle, Tally, or similar).
- Proficiency in MS Excel (pivot tables, VLOOKUP/XLOOKUP, reconciliation formats).
- Strong analytical skills with high attention to detail.
- Good communication skills for vendor/customer/bank coordination.
- Ability to work under month-end closing timelines and multitask across ledgers.
