Purchase & Procurement Executive / Manager

Location: Mumbai / Project Sites as required
Reporting To: Purchase Head / Management / Project Director
Experience: 4–8 Years in Purchase & Procurement, preferably in Construction, Interior Fit-outs, Theming, Fabrication, Hospitality, Theme Parks or Project-Based Industries
- About the Role
We are looking for an experienced and result-oriented Purchase & Procurement professional responsible for managing end-to-end procurement activities for large-scale Theme Parks, Water Parks, Entertainment Zones, Museums, Experience Centres, Resorts, Interior Fit-outs and Theming Projects.
The candidate will be responsible for sourcing materials, developing reliable vendors, negotiating commercial terms, raising purchase orders, coordinating deliveries and ensuring that the right material, quality, quantity and price are achieved within the required project timelines.
The role requires strong coordination with Design, Projects, Site, Stores, Accounts, Production and Management teams.
- Key Responsibilities
A. Project Procurement
· Understand project BOQs, material specifications, drawings and site requirements.
· Prepare procurement schedules aligned with project execution timelines.
· Procure construction, interior, theming, fabrication and finishing materials.
· Ensure timely availability of materials at project sites.
· Coordinate procurement for multiple projects simultaneously.
· Track long-lead and critical materials and ensure timely ordering.
· Coordinate with site teams to understand urgent and planned requirements.
· Ensure procurement decisions support project deadlines and execution priorities.
B. Vendor Development & Management
· Identify, evaluate and develop reliable suppliers, manufacturers, contractors and subcontractors.
· Build a strong vendor network across Mumbai, Maharashtra and pan-India.
· Develop specialised vendors for:
o FRP/GRC o Artificial rock o Sculptures and props o Scenic painting o Fabrication o MS/SS structures o Carpentry o Civil works o Interior materials o Electrical and lighting o Plumbing o Waterproofing o Flooring and wall finish o Furniture and fixtures o Landscaping/theming materials o Signage o Specialised amusement/theme-park equipment
· Conduct vendor capability assessments and site/factory visits where required.
· Maintain an approved vendor database.
C. Sourcing & Commercial Negotiation
· Obtain and compare multiple quotations for major purchases.
· Negotiate price, quality, credit period, delivery schedule, transportation, warranty and payment terms.
· Prepare comparative statements and commercial evaluations.
· Identify cost-saving opportunities without compromising quality or project requirements.
· Benchmark market rates regularly.
· Negotiate bulk purchase and project-specific rates.
· Maintain confidentiality of commercial information.
D. Purchase Order Management
· Prepare Purchase Orders as per approved quotations and commercial terms.
· Ensure POs clearly mention:
o Material specifications o Quantity o Rate o GST o Delivery location o Delivery timeline o Payment terms o Quality requirements o Warranty o Transportation o Installation requirements, where applicable
· Obtain necessary internal approvals before placing orders.
· Maintain complete purchase documentation.
E. Material Follow-up & Logistics
· Follow up continuously with suppliers for production and dispatch.
· Monitor material delivery against committed dates.
· Coordinate transportation to project sites.
· Track dispatches and expected delivery dates.
· Coordinate with Stores/Site teams for receipt and inspection.
· Escalate delays, shortages, damages or quality issues immediately.
· Maintain a project-wise material tracking system.
F. Quality & Specification Coordination
· Ensure materials supplied are in accordance with approved specifications, samples and drawings.
· Coordinate with Design/Project/Site teams for technical clarification where required.
· Arrange samples and mock-ups before bulk procurement.
· Coordinate replacement or rectification of rejected/damaged materials.
· Maintain vendor quality records.
G. Cost Control & MIS
· Maintain project-wise procurement budgets and purchase values.
· Track:
o Budget vs. actual purchase o Quotation comparison o Purchase Order value o Pending orders o Material received o Material pending o Vendor payments
· Prepare weekly/monthly procurement MIS.
· Highlight cost overruns, price escalations and procurement risks to management.
· Support project teams in achieving procurement cost targets.
H. Coordination with Accounts
· Coordinate with Accounts for vendor creation and documentation.
· Submit approved POs, invoices, delivery challans and supporting documents.
· Follow up for vendor payments as per agreed terms.
· Resolve discrepancies between PO, invoice and material receipt.
· Ensure proper documentation for GST and accounting requirements.
I. Site & Project Coordination
· Coordinate closely with Project Managers, Site Engineers, Designers and Stores.
· Attend project/site meetings when required.
· Understand site constraints and urgent procurement requirements.
· Travel to project sites, vendors and manufacturing facilities as required.
· Support procurement for projects across India.
- Key Materials / Categories The candidate should ideally have experience procuring several of the following:
Construction
Cement, steel, MS sections, hardware, blocks, waterproofing materials, chemicals, aggregates and civil materials.
Interior Fit-outs:
Tiles, stone, marble, wood, laminates, plywood, MDF, glass, aluminium, hardware, false ceiling, partitions, sanitaryware, furniture and fixtures.
Theming
FRP, GRC, GRP, artificial rocks, sculptures, props, scenic materials, coatings, paints, textures,
specialty finishes and decorative elements.
Electrical & Lighting:
Cables, conduits, panels, lighting fixtures, architectural lighting, outdoor lighting and control equipment.
Fabrication
MS/SS structures, welding consumables, fasteners, sheet metal, fabrication components and specialty hardware.
Specialised Project Materials
Water-park materials, pool finishes, slides/attraction-related materials, signage, theming components, experience-centre materials and custom-fabricated items.

- Ideal Candidate Profile
· Graduate/Diploma in Supply Chain, Procurement, Commerce, Engineering, Construction Management or related field.
· 4–8 years of relevant purchase/procurement experience.
· Experience in construction, interior fit-outs, hospitality, theming, fabrication, amusement parks, theme parks or project-based industries preferred.
· Strong vendor network will be an advantage.
· Experience handling multiple projects and project-site procurement preferred.
· Candidates with pan-India vendor development experience will be preferred.
