Role & responsibilities

Project Planning & Monitoring

- Prepare baseline project schedules, milestone plans, and recovery plans.
- Monitor daily, weekly, and monthly project progress against approved schedules.
- Identify delays, critical activities, and project bottlenecks.
- Coordinate with site teams to ensure timely execution of activities.
- Prepare progress reports, dashboards, and management presentations.

Subcontract Management

- Prepare and process subcontractor work orders.
- Coordinate subcontractor mobilization and deployment.
- Finalize subcontractor rates in consultation with management.
- Verify and process subcontractor running and final bills.
- Maintain subcontractor billing status and payment tracking sheets.
- Monitor subcontractor performance and work completion.

Client Billing & Commercial Coordination

- Prepare monthly client RA Bills and supporting documents.
- Coordinate with site teams for measurement sheets and billing quantities.
- Track certification status and follow up with clients.
- Maintain billing, certification, and payment status reports.

Project Coordination

- Coordinate with Project Managers, Site Engineers, Procurement, Stores, Design, QA/QC, and Finance teams.
- Follow up on critical project issues affecting progress.
- Ensure timely resolution of site constraints.
- Coordinate internal review meetings and management discussions.

Contract Administration

- Prepare contractual correspondence including:
- Hindrance Letters
- Delay Notices/Replies




- Extension of Time (EOT) documents
- Variation Claims
- Additional Scope Letters
- Price Escalation-related correspondence

Site Instructions
- Technical and commercial communications
- Maintain proper documentation of contractual records.

Project Delay Analysis

- Prepare delay statements and critical path analysis.
- Identify reasons for delays and supporting documentary evidence.
- Assist in preparation of EOT submissions and delay claims.
- Monitor milestone achievements and contractual obligations.

Variation & BOQ Management

- Prepare variation BOQs.
- Identify excess, extra, substituted, and omitted quantities.
- Coordinate quantity reconciliation with site teams.
- Maintain variation registers.

Procurement Planning

- Prepare monthly and quarterly procurement plans.
- Coordinate material requirements with project schedules.
- Track procurement status and pending deliveries.
- Identify procurement risks and mitigation measures.

Vendor Development

- Identify and evaluate current suppliers and subcontractors.
- Obtain quotations and conduct comparative analyses.
- Support cost optimization and value engineering initiatives.
- Develop alternate sourcing strategies.

Financial & Resource Planning

- Prepare monthly, quarterly, and annual project cash flow projections. Estimate monthly fund requirements.
- Coordinate budget planning with management.
- Monitor project expenditures against budgets.

Documentation & Reporting

- Prepare Daily Progress Reports (DPR), Weekly Progress Reports (WPR), and Monthly Progress Reports (MPR).
- Prepare Minutes of Meetings (MOM) and monitor compliance.
- Maintain project registers and documentation.
- Prepare management MIS reports and project dashboards.

Site Coordination

- Coordinate regularly with site teams for: Progress updates
- Resource planning
- Material planning Equipment deployment Site
- constraints Safety and quality-related issues
