Operations and Community Executive - MindSpeak
About MindSpeak
MindSpeak is a communication coaching business helping professionals and leaders communicate with clarity, structure, and confidence. We run live webinars, intensive multi-day programs, and a flagship long-form coaching program with an active student community. We are a lean, high-impact team and every person on it carries real ownership.
About the Role
This is not a pure operations role and it is not a pure community role. It is both, by design.
On the operations side you are the engine behind every live session - managing Zoom, handling participant flow, sending payment links, tracking data, and making sure nothing falls through the cracks. On the community side you are the warmth that holds students together between sessions - running engagement activities, hosting sessions independently, and making sure every student feels seen and supported.
You will work directly with the Founder and alongside an existing team member. The expectation is full ownership of your function - not task completion, ownership.
What You Will Do
Live Session Operations
- Co-host all live webinars and program sessions on Zoom
- Manage waiting room, polls, chat, breakout rooms, and payment links
- Run recorded webinar sessions independently and handle live Q&A;
- Be present and set up 30 minutes before every session
- Update all session data within 20 minutes of every session closing
Participant Management
- Onboard all program registrants into the correct WhatsApp communities
- Run pre-program reminder and nurturing sequences
- Make outbound calls to drive attendance on key program days
- Follow up with warm leads who commit to payment but do not complete
- Track non-buyers and execute re-engagement sequences
Community Management
- Own the MindSpeak student WhatsApp community day to day
- Send session recaps and activity nudges after every live session
- Run weekly communication challenges to keep the community engaged
- Host the Wednesday public speaking session and Sunday book club independently
- Respond to student queries warmly and promptly
- Identify disengaged students and proactively re-engage them
Platform and Tools
- Manage the community and content platform end to end
- Upload session recordings and manage student access
- Maintain WhatsApp automation sequences
- Create and update slides used during live sessions on Canva
- Keep all data in Google Sheets accurate and up to date
What We Are Looking For
- 1 to 2 years of experience in operations, community management, ed-tech, or a coaching support role
- Warm, people-oriented, and comfortable engaging with students
- Confident hosting Zoom sessions independently without the Founder present
- Strong written communication - your messages represent the MindSpeak brand
- Comfortable with Zoom, WhatsApp Business, Google Sheets, TagMango or similar platforms
- Organised and able to manage multiple things during live sessions without dropping anything
- Proactive - you flag problems before they escalate and follow through without reminders
- Weekend availability is non-negotiable - our programs run Friday evenings, Saturdays, and Sundays
Working Style This is a remote role but it does not run on autopilot.
You are expected to be available, responsive, and proactive during working hours without needing to be chased.
For every live session, early is on time. You must be set up and in the Zoom room before the Founder and before participants arrive.
MindSpeak is a communication and leadership brand. Whether it is an internal call or a live session, you are expected to show up well-lit, well-groomed, and with a clean background. This is the environment we work in and what we stand for.
If something goes wrong, flag it. If something is unclear, ask. If a student needs support, respond.
