About The Role Studio Saarth is looking for a highly organized, proactive, and people-oriented HR cum Personal Secretary to manage day-to-day HR operations while providing administrative and executive support to the leadership team.
The ideal candidate should have strong communication and coordination skills, a professional personality, excellent follow-up abilities, and the ability to manage multiple responsibilities in a fast-paced architecture and design environment.
The role will involve HR administration, recruitment, employee engagement, attendance and leave management, documentation, office coordination, scheduling, and executive support .
Key Responsibilities
HR & Recruitment
- Manage day-to-day HR operations and employee-related activities.
- Handle end-to-end recruitment for architects, architectural assistants, junior architects, interns, and support staff.
- Coordinate with hiring managers and department heads to understand manpower requirements.
- Source candidates through job portals, LinkedIn, references, and other recruitment channels.
- Screen profiles, coordinate interviews, maintain candidate records, and follow up with candidates.
- Manage joining formalities, onboarding, documentation, and induction of new employees.
- Maintain employee files, HR records, attendance, leave, and other employee documentation.
- Track employee performance reviews, confirmations, and probation periods.
- Support employee engagement initiatives and address routine employee queries.
- Assist in developing and implementing HR policies, processes, and workplace guidelines.
- Maintain confidentiality of employee and company information.
Executive / Personal Secretary Support
- Provide day-to-day administrative and coordination support to the Founder/Director.
- Manage calendars, meetings, appointments, and schedules.
- Coordinate internal and external meetings and ensure timely follow-ups.
- Prepare meeting agendas, notes, minutes, and action points whenever required.
- Track pending tasks, commitments, and follow-ups on behalf of the leadership team.
- Handle professional correspondence, emails, calls, and communication with clients, consultants, vendors, and team members.
- Prepare and organize presentations, reports, documents, and other business-related information.
- Maintain important records, files, documents, and confidential correspondence.
- Coordinate travel arrangements, meetings, and other administrative requirements when required.
Office Administration & Coordination
- Coordinate with employees and departments to ensure smooth day-to-day office functioning.
- Assist in managing office supplies, vendor coordination, and administrative requirements.
- Maintain attendance, leave records, staff schedules, and other operational trackers.
- Support employee communication regarding meetings, policies, events, and office activities.
- Assist in organizing employee meetings, training sessions, celebrations, and engagement activities.
- Ensure timely follow-up on administrative and HR-related tasks.
Required Qualifications & Experience
- Graduate/Postgraduate degree in HR, Business Administration, Management, or a related field.
- 2-5 years of relevant experience in HR, administration,
executive assistance, or a combination of these functions.
- Prior experience in an architecture, design, real estate, construction, consulting, or professional services environment will be an advantage.
- Experience in recruitment and employee coordination is preferred.
- Candidates with previous HR cum Executive Assistant/Personal Secretary experience will be preferred.

Candidates with experience in architecture/design firms, real estate, construction, or other project-based organizations will be preferred.
